Section 7: Quality Control Protocols At Deeps, we recognize the importance of having strong quality control protocols for each of our consignments and strive to complete all our deliverables within the stipulated timelines. Our internal systems make it mandatory for us to depute a Quality and Risk Management Supervisor on any and all of our consignments. This supervisor is responsible for ensuring that the production unit adheres to the project timelines it commits and delivers work products that meet the client’s expectations. Our team puts in place a production plan before the commencement of production and therefore, we view the final deliverable to be an output of a carefully planned and well executed approach; one which has in place sufficient number of quality checks and measures. Through our mechanism of quality checks at multiple levels, external checks as well as production manager/superior reviews, we ensure that good quality work-products are delivered to our clients. 7.1 Quality Control Plan A quality control plan is critical for the successful execution of a consignment and it is established after the kick off the production process. The Quality and Risk Management Supervisor defines a Quality Control Plan with the guiding principle for producing a definitive result. The QC plan is based on the principle of participation from both the parties involved in the consignment i.e. the supplier and the client. This is to ensure that the client is a part of the production process throughout the project lifecycle. Continuous feedback from the client is sought at various steps during the engagement to confirm that there is no mismatch between the client’s needs and the end product. Also, all the quality systems established through the QC plan are made in accordance with our stipulated timelines specified before hand. An outline of our QC plan has been defined below: Stakeholder

7.2 Communication channel with Client Internalizing the QC plan also requires the establishment of clear communication channels with clear guidelines on who needs to be marked for everyday communication and which stakeholders should be contacted under different circumstances. For a consultative and participatory approach, channels for regular communication through emails, video conference, and telephonic calls are established. 7.3 Identification of quality monitors Reviewers are identified for the project from both the entities i.e. the supplier and the client. This ensures clarity on who is responsible for checking the ongoing production and the finished products under a specified time; which in turn helps in timely completion of the consignment. Internally at Deeps, checks at multiple stages is outlined in the QC plan. Similarly, a list of quality monitors is obtained from the client.

20

Deeps Texstyles Private Limited – Corporate Profile (2017-18)

Section 8: Risk Assessment and Mitigation Strategy Our risk assessment and mitigation strategy is based on a four-step approach to risk 

Mitigate risk – risk mitigation occurs when there is a proactive change to the production plan to minimize the impact or probability of the risk occurring. However risk mitigation does not guarantee full elimination of the risk and there can be some residual risk remaining.

Avoid risk - requires change in plans to completely eliminate the probability of the risk occurring or the effect of the risk if it does occur.

Transfer risk –risk transference occurs when the negative impact is shifted to a third party. However the risk may still occur but its impact will be somewhat displaced.

Accept risk –if the risk has low impact and low probability, or the cost to mitigate may be too high, it is often just best to accept it and monitor the risk.

As per our understanding and experience as a production unit, we have enlisted few risks which may have the potential to undermine the effective management of production. Mitigation strategies have been proposed for countering the potential risks based on our strong understanding of risk management systems. Stage of Production Inward Raw Material
