INFORMATION, POLICIES, PROCEDURES AND ARRANGEMENTS It is with great pleasure that the Deauville Beach Resort presents our culinary delights to you and your guests. We hope that our carefully prepared menus and beverage selections **** in planning your upcoming program. As always, we stand ready to prepare a custom menu if you so desire. The following information will help you further in the planning of your event. AGREEMENT: After the group rooms contract has been signed and the initial deposit received, you will be contacted by our Convention Services Department to confirm event specs, date, and meeting spaces. Banquet Event Orders for food, beverage, audio-visual, etc. will be generated by the Convention Services Manager (CSM) assigned to you and assist with the total planning procedure. PAYMENT SCHEDULE: The schedule for the master account is indicated on your group sleeping room contacted by our deposit, 50% deposit, and final payment. MENU SELECTIONS: In order for the Resort to ensure the availability of all the chosen items, menu selections should be submitted to the catering Office no later than six weeks prior to the function date. The printed menu selections offered are only suggestions. Please consult with your CSM for Specialty of Theme menus to suit the needs of your group. Should there be more than one entree selected for the menu, the exact number of the entree must be specified with the guaranteed location along with the exact location of the guest in the dining area. The Resort reserves the right to renegotiate prices for rental, labor charges, or menus if attendance increases or decreases. The Resort does not permit any food or beverage brought onto property for private consumption. GUARANTEES: The guaranteed number of attendees must be communicated to your CSM no later than three (3) business days prior to the date. The hotel will set up and prepare for 5% above the guaranteed number. If no guaranteed number is provided, the client will be responsible to pay for the greater of the following: (1) the number of persons for which the event was originally booked, or (2) the actual number of persons in attendance but no less than the original number on the contract. Once the guaranteed number is given, it is not subject to reduction. FUNCTION SPACE & ROOM ASSIGNMENTS: Function space is assigned by the Resort according to the guaranteed numbers anticipated for each room. The Resort reserves the right to make room changes as set ups and guarantees are finalized. Please contact your CSM prior to printing room assignments on programs or event printed materials. Should it become necessary to reassign function space, the CSM will make every effort to notify you at the earliest possible time. FLOOR PLANS: Floor plans will be provided upon request. BELL CAPTAIN CHARGES: If boxes containing materials and other items need to be moved from one area to another, delivery and storage charges will be applied to your account. Your CSM will inform you of the charges. In Room amenity delivery is $2 per item delivered. No welcome amenities can be handed out at the front desk due to limited space in this area.
