Interlibrary loans (ILLs)

NOTE on ILLs The ILL service is reserved to final year and postgraduate students conducting research for their dissertation.

What is an interlibrary loan (ILL)? When conducting research for your dissertation as final year student, you will sometimes need to access specific materials (books or journal articles) that cannot be found in DBS Library or on one of the many databases DBS Library subscribes to. These resources can be requested via DBS Library’s interlibrary loan service (ILL service). This service is available to DBS final year and postgraduate students who are conducting research for their dissertation. There is a nominal fee of €8.00 per interlibrary loan application that will be charged on your Library account when your application is received by Library staff. Please note that this charge will stand even if the item is not collected.

Please allow 2 to 3 days for all applications to be processed and ready for collection. There is a nominal fee of €8.00 per ILL application. Interlibrary loan books can be renewed for a charge of €4.00 (please give two days notice for book renewal).

How do I apply for an ILL? Before applying: Before submitting you interlibrary loan application at the Library desk, please ensure that you have first exhausted all resources available to you from DBS Library by checking the Library’s online catalogue and the Library’s online databases: - if you are looking for a book, check first the Library’s online catalogue to see if a print and/or electronic version of the book is available within DBS Library collection. The online catalogue is searchable via the “Search electronic resources” search field on the Library website homepage, “catalogue” option. - if you are looking for a journal/magazine article, check first the Library’s online databases. The databases are searchable via the “Search electronic resources” search field on the Library website homepage, “databases” option, or via your Athens account. If the resource you are looking for is not available from DBS Library’s resources, you can then consider doing a general search in Google Scholar or Google but you must ensure that you use the Google “advanced search” option and that you enter the full title of the resource you are looking for in the “this exact wording or phrase” field and that you select “PDF” in the “file type” dropdown menu.

Applying for an ILL: Interlibrary loan requests can be submitted online via the Library website, under the “library services” menu by selecting the “interlibrary loan” option. It is important that you fill in as many fields as possible in the application form as this will make it quicker and easier to process the application. When your interlibrary loan has arrived, the Library will webtext you. Journal article requests are sourced from the British Library and are received as a restricted document, this means that the article can only be printed out and not emailed to you. Book requests are primarily sourced from Trinity College, Dublin, books that can’t be sourced from TCD will be sourced from the British Library. All books received as an interlibrary loan are for reference use only within the Library for the duration of the loan.

Visits to other libraries Sometimes you might want to visit another library to access specific materials. DBS Library has an arrangement with both TCD Library and DIT Aungier Street Library that allows you to access materials for reference only in these two locations. The Library can also seek permission for students to visit other libraries. Note: UCD college is only accessible to external visitors by paying a nominal access fee. No letter of introduction will be accepted.

Notes on accessing Trinity and DIT libraries There is no charge for this service. You will have referencing rights only in both libraries. In order to photocopy in either library you can buy a photocopy card from a vending machine (TCD) or top-up a virtual guest account (DIT).

How do I apply for external visit? Visits to other libraries can be arranged by filling in an “application for external research form available at the library desk. Please give at least two days notice from the day you wish to visit the other institution. When your letter of introduction is ready for collection we will webtext you to inform you that you can collect the letter at the library desk. Note: each location may have different policy regarding external visits so there will be instructions with your letter of introduction on how to use the service in the applicable location.
