Purdue Convocations 2012-2013 GROUP SALES INTERN Purdue Convocations is a leading multi-disciplinary performing arts presenting organization. While proudly affiliated with Purdue University, Purdue Convocations supports itself through ticket sales, individual and corporate contributions, foundation and government grants, endowment income, and proceeds from benefit events. Purdue Convocations offers approximately 30 performances (August through May) each season by top-ranking international artists including symphony orchestras, dance and theater companies, and a wide array of chamber music ensembles, solo recitalists, jazz artists, world music artists, opera, choral groups, and special attractions performed in multiple University and community venues. This internship provides experience to students who have an interest in the related fields of arts administration. All interns, whether unpaid or paid as a part of the government work-study program, make a commitment to work an average of ten hours per week. Interns will receive valuable experience and contacts in many fields of the performing arts, and tickets to most Purdue Convocations performances. ------------------------------------------------------------------------------------------------------------------------------------JOB TITLE: Group Sales Intern DEPARTMENT: Purdue Convocations REPORTS TO: Director of Marketing SUMMARY DESCRIPTION: Individual will work on a range of projects to support the director of marketing on sales efforts for Purdue Convocations and the Purdue Student Concert Committee. REQUIRED HOURS: 10-15 hours per week, during both normal business hours (8am-5pm, Mon-Fri) and evening hours, as needed. PRIMARY DUTIES: The Group Sales Intern will have the opportunity to participate and assist in all aspects of the department's day-to-day responsibilities including: securing groups sales among Purdue and Ivy Tech Lafayette students; meeting student groups; giving group sales presentations to student organizations and resident halls; attending various meetings as needed; helping with mailings, mail merges, and office or data entry projects related to group sales. ------------------------------------------------------------------------------------------------------------------------------------Specific Qualifications:      

Have an interest in the performing arts and/or arts administration and its related fields Have strong writing, research, presentation and public speaking skills Have excellent interpersonal skills and willingness to work with diverse communities Be reliable, flexible, self-motivated, outgoing, and meticulous Valid driver’s license Pursuit of college degree in Business/ Hospitality/Tourism Management / Communications preferred.

SUMMARY DESCRIPTION: Provide graphic design support to the Marketing Department. Preferred candidates have previous experience using graphic design and website software (InDesign, Photoshop, Illustrator, Acrobat, Dreamweaver, WordPress). Candidates must provide design samples and links at interview. REQUIRED HOURS: 10-15 hours per week, during normal business hours (8am-5pm, Mon-Fri). PRIMARY DUTIES: PHOTO MANAGEMENT Prepare electronic image files for use on press area of the website and e-mail programs GRAPHIC DESIGN  Design promotional materials in a look consistent with other Convocations marketing materials (including but not limited to ads, flyers, posters, envelope stuffers, and postcards).  Design promotional materials for on-campus student promotions. WEBSITE  Update website content for convocations.org using WordPress platform.  Assist with auxiliary websites as needed. (Student Concert Committee and Convocations Volunteer Network) ------------------------------------------------------------------------------------------------------------------------------------SPECIFIC QUALIFICATIONS:       

Excellent verbal/written communication skills. Excellent attention to detail and excellent proofreading skills. Required computer skills: working knowledge of internet, InDesign, Photoshop, Illustrator, Acrobat Reader, Dreamweaver, and WordPress. Demonstrated ability to quickly learn new software programs. Ability to work independently in deadline-sensitive environment. Have an interest in the performing arts and/or arts administration and its related fields. Valid driver’s license preferred. Pursuit of college degree in art and design, business, communications, English, or area of fine arts preferred.

REQUIRED HOURS: 10-15 hours per week primarily during evenings and weekends. Some weekday hours available for office work. A flexible schedule is required - some weeks require more hours than others and some specific date availability is necessary. Hours will be assigned monthly based on the calendar of events for Purdue Convocations. PRIMARY DUTIES: PROGRAMMING EVENTS: 

 

Assemble and display all necessary signage for each performance. (Friends of Convocations: Lobby banners, parking signs; Production: Lobby signage for show restrictions, stanchions for meet and greet lines and stanchions for merchandise.; Marketing: brochure racks) Greet and welcome the public at events Assist with crowd control at events

PRE / POST-SHOW EVENTS: 

Represent Convocations at education events and residency activities with Convocations staff and visiting artists, including pre-performance lectures, pre/post-performance receptions.  Set up and strike chairs and materials for events. ADDITIONAL DUTIES: MERCHANDISE SALES  Manage merchandise sales at specified performances. ------------------------------------------------------------------------------------------------------------------------------------SPECIFIC QUALIFICATIONS:     
