As a busy mom of 7, I am always looking for ways to automate my business. Since 2009 I have been using a marketing automation software called “Infusionsoft” to automate the sales and marketing of my business. In 2013 I became a Certified Partner of Infusionsoft and since then I have helped over 80 new business owners set-up their marketing automation processes! Marketing and running my business is a passion of mine, but not my only passion. Since 2001 I have had the privilege to live in Puebla, Mexico where my family and I serve as missionaries. Over the years we have started our main church, started a mission church, and assisted two other missionaries start their works as well. We also have a Bible Institute that trains national pastors to start churches in other areas. Each year we hold a leadership conference to inspire and encourage pastors to keep serving in their areas. This year we hope to have over 500 attend our conference. Our mission is to plant 20 churches over the next 20 years all in the state of Puebla.

1. Productivity Tools Google Calendar I am an avid scheduler. I firmly believe that if it is not scheduled, it is not going to get done. I may have a to do list a mile long, but every single to do gets appointed to a time slot on Google Calendar so that it is scheduled to be done. Sometimes things happen… clients call… or prospective clients call… and things have to be moved but even this is easy. I usually drag things I did not have time to do to Saturday as a placeholder and then when I have extra time throughout the week I slide them back in to an open slot and work on them. Using Google calendar also allows my assistant to schedule my phone meetings for me without having to check to see if I am available. •

Schedule when you will work on something, not the due dates.

Block out family and ministry time first!

Structure your business around your life, not your life around your business.

Give access to your virtual assistant so they can schedule your meetings for you.

Teach your virtual assistant how to manage her time so she can be more

productive and not multi-task.

Google Drive I use Google Drive to take notes on Client Consultation calls, write up action guides for my staff, and keep in storage any document I want to be able to easily share with multiple staff members. Google Drive also has a form creator that automatically populates an excel file. We usually use Infusionsoft to create short surveys but for anything that is over a few fields long or if we want to be able to capture the data into an excel file to easily compare it, we use Google Forms. For example if I am going to hire a new staff member, I might create a Google Form for them to fill out and answer a few questions. I can then easily scan the answers to compare who the best candidate is. We also collaborate on client projects with Google Drive. Multiple staff members can work on the same file at the same time. When we are doing a group webinar or group skype call, we quickly do a screenshare and open up the Google Drive file for that project and jot down our notes all at the same time. •

Use Google Drive to collaborate virtually with clients or your virtual assistant.

Use Google Forms to create short surveys.

Name your files with short 3 letter codes based on business to stay organized.

Organize your files in folders.

Be sure that you are the “owner” of the files you create and not your virtual assistant.

IPhone Audio Notes

When out and about and I have an idea, I use the audio notes feature to record short messages that I then send to my sta via WhatsApp or email. It is so much easier than trying to type out a message

LiveScribe Pen

I use at all the conferences and live events to take notes and also on client calls. I sometimes like to take client call notes with a pen and paper and this way I can easily send the notes to my sta.

IPhone Camera When I forget or can’t find my LiveScribe pen, I simply take pictures of my notes or drawings and email them to my staff. Makes life easy. I also love to draw things out on a whiteboard in the office. I can map out a funnel or graphic design, take a picture, and send to my staff to develop.

Dropbox Whereas Google Docs makes it easy to collaborate, there is a place for Dropbox in our business as well. As a design firm, we buy graphics, templates, and sometimes software on a regular basis. Since all of my staff members are located virtually we want to make sure that the files we purchase are accessible to the whole team. When a purchase is made, the file is downloaded to a graphics folder that is shared with the entire graphic design team so anyone can use it in future projects. We do the same for Wordpress Themes and other files. Dropbox is also essential if you are doing live events or training programs. Sometimes it is difficult to upload all of your files to Google Docs - or the formatting changes a littles sometimes - so Dropbox allows you to save your important files on the cloud so if your computer ever crashes on you, you have a backup! •

SnagIt Use daily to grab screenshots as I am working. I love Snagit and this is literally the one tool I could not work without! Install the desktop app so you can easily grab screenshots. Use the editor to add notes to the screenshots to be able to easily explain to your virtual assistant exactly what you want them to do. Great tool for web design projects because you can easily share what you want with your graphic designer.

LastPass or RoboForm With so many passwords, an online tool to save an auto-fill your passwords is essential. I use LastPass as it works great on my Mac but I used Roboform for years on my PC. One of the most important tools. If you use the same password for all your sites, your business is at risk. Use Lastpass for a Mac Use Roboform for a PC

Skype Use daily to connect with team members, clients, and friends. Skype groups are great for coaching clients. Like Facebook groups but without the distractions. We have special Skype groups for each project. So for example if I have a project about a new website, I can easily put the people I need on the project on a special skype group, name the group accordingly, discuss the project and then move on. When there are updates we post them to the correct groups and the conversations all stay organized! •

Shopify After 10 years using Yahoo Stores, we finally made the switch to Shopify. Shopify is an easy to use platform if you are wanting to sell physical products online. It also has a built in payment processing system so if you don’t already have a merchant account, you don’t need to get one! •

g Basecamp Use daily to manage projects. Love the email feature. It is important to make sure that all logins, passwords, emails, communications, and documents are all on one central place so you can easily find things months or even years later!

Just recently I have had clients contact me for logins from projects over a year old and since we used the Writeboards feature we were able to track them down easily! •

Create todo lists that you can assign to specific people with due dates •

Create a calendar inside of basecamp where you can see all of the upcoming due dates for projects. •

Keep a record of all conversations with clients with the message feature.

Use the Writeboards to store logins, passwords, and other info.

Use the files area to upload designs, excel files, and documents to never lose a file again.

Infusionsoft Use daily to setup campaigns, email sequences, nurture sequences. Infusionsoft is much more than an email marketing tool. I use Infusionsoft to setup webforms to capture leads that will then automatically add contacts to a follow up sequence to pre-sell them on our products and services. g Gmail I have many different email accounts from the different domains I own, but all of them get forwarded to my primary gmail account. I have filters setup so that if an email comes in to a specific email address, all of those emails go into one folder. For example, I have nicole2@startrankingnow.com setup as my email that I use with Basecamp. All emails that come in automatically go to a Gmail Folder called Basecamp so they are not cluttering up my inbox and I am sure to not miss one! •

We can easily upload a video file to Amazon s3 and then embed it on any site we like. They only charge by what you use so the rates are very reasonable. •

I use this on my phone to send out updates while on the go. One of the huge advantages of Hootsuite is that I can add all of my social media accounts and profiles and only select the one’s I want the posts to go out on. I can also set-up streams and monitor conversations about my keywords and market. •

8. Vi 8 Regus I use Regus as my virtual office and they are great! It is easy to get office hours if I need a place to work and they also have board meetings for rent as well if I need to conduct group coaching to up to 12 people. •

If you would like to claim your business on Yelp or Google Local but don’t want to put your home address, this is the way to go.

If you don’t want clients stopping by, put “by appointment only” on your site.

Vonage Since I run my business from the country of Mexico, Vonage is essential for my business. I have it setup so I can answer a US phone number in my oďŹƒce in Mexico. I like Vonage over other VOIP providers as it rings directly to a landline and the sound quality is much better! If you are traveling you can have your calls forwarded as well!

An alternative to Vonage is MagicJack. MagicJack also works in Mexico but does not have a lot of the additional features of Vonage so we use this for a secondary line for one of our ecommerce businesses.
