November 26, 2013 Dear Applicant, Greetings and thank you for your interest in this project! The Business Cluster Convention is the main collaborative effort of all eight (8) COA Business Cluster organizations for the year. It is an avenue for the cluster to promote good business through the different core competencies of the business organizations. It is also a wonderful opportunity to be trained in project management, interact with fellow members of Business Cluster organizations, and be more familiar with BC CHeST and core work. The following are the steps you need to take to finish your application: (1) Read this primer carefully. (2) Accomplish the application form found in http://bit.ly/BCConventionApps1314 (3) Sign up for an interview timeslot here: http://bit.ly/BCConventionInterviews You should receive a text message confirming your timeslot. If you do not receive it within 12 hours or if you are not available for any of the given timeslots, please contact Mia Pangilinan (09175795642) as soon as possible. Please note that this project is only open to Business Cluster organization members. We will be accepting a maximum of 2 heads for each committee while the committee members will vary depending on the committee’s demands. We are looking for utmost commitment from our future core members. This is one of the cluster’s biggest efforts for the year, and we hope to recruit the best and most reliable people to work with. CORE POSITIONS (1) Project Head/s are the over-all point persons for the entire project. (2) Program Head/s make the final decisions regarding all program details in line with the vision of the CHeST and the Business Cluster Board. Their responsibilities include: • Coming up with at least two (2) quality concept and program flow proposals • Ensuring deadlines are met by program core members • Coordinating with other committee heads to ensure proper execution of planned program (3) Secretariat Head/s are in charge of numerous essential details. These include: • Acquiring attendees and managing a database to keep track of their response statuses • Managing contact channels for the event (e.g. cellphone, email, social media) • Documentation and evaluation • Keeping track of the finances (3) Marketing Head/s are in charge of obtaining the necessary sponsors for the event. Their responsibilities include: • Constructing sponsorship packages, letters, MOAs and other necessary documents • Ensuring that the needs of both the sponsors and the project are met (4) Logistics Head/s are at the helm of ensuring proper execution of other committees’ plans. Their responsibilities include: • Overseeing the reservation of venues, procurement of needed materials, and set-up • Booking food suppliers (5) Promotions Head/s are in charge of ensuring attendance and sustaining hype for the event. [Note: These heads must ideally be adept at Photoshop and creative work.] Their responsibilities include: • Constructing posters, videos, invitations and other essential promotion paraphernalia • Developing and overseeing an effective social media plan to promote the event
