Parliamentary Procedure Over-view

When action is required: ▪ Someone other than the presiding officer must make a motion by saying, “I move that…..”. The motion should include specifics. The secretary must record the motion exactly as stated and include the name of the person who made the motion.

▪ The presiding officer must ask for a “second”. The secretary does not have to record who seconded the motion, but MUST record that is was seconded.

▪ If discussion occurred before the motion was made, as often happens, the presiding officer is still required to ask, “Is there any further discussion?”

▪ There may or may not be discussion at this point. When discussion is finished, the presiding officer must say, “Then we will proceed to vote.”

▪ Most times you can use a “voice” vote. But, if the issue is important or discussion seems to indicate mixed feelings in the group, then take a hand count. If a hand count is taken, the secretary MUST record the number of votes in favor and/or against.

▪ When taking a vote say, “All those in favor please signify by saying ‘yes’.

Those opposed say, ‘no’”. The presiding officer should ALWAYS clearly repeat the motion before taking the vote, to make sure that everyone understands the issue on which they are voting.

▪ The presiding officer MUST say, “Motion is passed.” Or “Motion denied.”, if it doesn’t pass. The secretary MUST record one or the other in the minutes.

▪ Things get complicated when making an amendment. The best thing to do is….. before making your original motion, make sure that the motion includes the details you consider important, ones that you have more or less already agreed upon.

General Expectations: • Meeting Attendance – at least 80%/ both lunchtime and Board • Participation at events – Do as many as possible / the members notice when a Board member sets a poor example/ but there is no hard and fast rule…this is important, though • Role model for other members – good example in character / includes social media / also goes back to the previous…be at events and activities • Knowledge of & participation in Key Club beyond CHS – attend Division Council Meetings – supposed to go to 6 out of 10 over the course of the year.

General Officer Guidelines CNH District Club Meetings: • Attend 80% of all club general meetings.

Board Meetings: • Attend 80% of all club executive Board meetings. Board meetings should be held at least once a month.

Division Council Meetings: • Attend a minimum of six (6) Division Council Meetings.

Kiwanis Meetings: • Attend a minimum of one (1) Kiwanis Division Council Meeting and/or attend a minimum of three (3) general Kiwanis meetings.

Training Conference: • Attend the Officers Training Conference and/or the Region Training Conference.

Officer Workshop: • Attend the appropriate officer workshop at District Convention, Officer Training Conference and/or Region Training Conference.

Kiwanis Connections It is important to maintain a positive Kiwanis connection:

• You MUST attend a minimum of 3 Kiwanis meetings over the course of the year. o That’s a guideline from CNH Key Club. o Actually, we prefer MUCH more than that! o We want you to begin to know the Kiwanis members as mentors and friends • You MUST make as much effort as possible to help at as MANY Kiwanis events & activities as possible. Typical ones include: o Kiwanis One Day – Saturday, April 18, 2020; help can also be with distributing flyers to homes in the week before the event o Mother’s Day Breakfast –Sunday, May 10th. Set-up the night before. o Food Pantry – (When school is out – on Fridays between 1 and 3 p.m.) – August, December and April o Oktoberfest –Saturday, October 5th o Kiwanis Marathon – Sunday, October 20th o Kiwanis Crab Feed –Saturday, December 7th o Kiwanis Division Meetings – On Saturdays, usually in June, September, November, January and March

Picking and Using a Scrapbook Theme

When picking a theme, keep these things in mind: • Go with something unique • Connect it to Key Club and/or the theme of service • Choose something for which you can find a lot of graphics • Choose something which has a lot of options for script variations when writing captions and titles for pages

Almost EVERY page needs a graphic or a script or something that ties it in to the scrapbook theme!

Page Numbers • They are one of the last things done • It’s better if they are unique and match the theme • They usually take several hours to create and glue in place

Captions should:

• Have a title for the event • Include – o A description of the activity o The number of members involved o The number of service hours involved o If any money was fundraised & how much • Refer to the theme of the scrapbook, as often as possible • Make people laugh or take notice in some unique way, if at all possible

Captions are created AFTER the pages are done. This means that each page needs to be planned so that room is left for a caption to be placed on it.

Photos Photos should be uniquely displayed: • Use a paper cutter to cut them/never scissors • Always back them in some manner • Use anywhere from one to four photos on a page. If you are using one photo, it may be best to have it be a 5 x 7 photo.

All other photos start out as 4 x 6 • Always cut out extraneous portions of a photo • Consider grouping a particular style of photo backing on each page • Some events require two pages – Example: DCON and ICON

Graphics

We are allowed a MAXIMUM of $300 to spend on the scrapbook.

That goes VERY quickly, especially if we use a lot of stickers and fun things like ribbons, etc. on the pages. We must keep receipts and keep track of our expenditures.

Enlarged photos also add to the bill, as do extra pages.

Speaking of “Extra” pages

One of the MAJOR point categories in the scoring is based on how MUCH the club does!

Soooooooo… it’s important that we don’t leave out ANY activities. We have a least ONE page for EVERYTHING we do!

Page Layouts

• Judges like variation in the way the pages look • Some pages should include proof of an activity using something besides pictures • News articles are important to include • Put in things that “open up”.

• Put in things that “slide out”.

• Use space in ways that are pleasing to the eye • Each individual page should be unique and a “work of art” • Remember to leave space for the caption!

Cover Most of the time, we try to find a fabric that we can use for the cover.

It’s a process that involves a hot glue gun. There is usually something unique that fits the theme that is incorporated into the cover. Again, this is probably one of the last things done for the book.

Required Registration Page (Goes on the inside of the front cover)

Title Page This is usually a combination of something done on the computer, then placed on the scrapbook page and enhanced with stickers, etc.

The Title Page is often one of the last pages created.

Table of Contents

This may be the LAST page created, as you have to get everything in place before figuring out page numbers and then putting together this document. We have a standard template we use that allows us to be able to record so many pages!

• We should try to have at least 610 pages for this section • Activities in this section should be organized in chronological order • These are any activities that benefitted any of our Cloverdale schools. o Teacher Appreciation Week in May o Back-to-School gifts for the Staff in August o Teacher Appreciation during Key Club Week in November o Shine Days – do at least 2 pages on this since we will do 9 of them in a year o Assist Teachers with school set-up o ????

• These are any activities that benefit the community.

• We often have about 20 pages in this section • Events we’ve done so far include: o Save the Rain – we’ll need a page on the booth at Kiwanis ICON o REFB Day o Phonebook deliveries o Drive-In Movie Night o HUGS Project

• This is usually our smallest section • These are fundraisers that bring money into the club that is not then donated to a cause • Fundraisers we’ve done since April include: o See’s candy sales for ICON attendees o Tamale sales for ICON attendees

• Other fundraisers that may be included in this section are: o Phonebook deliveries o Tamale Sales o See’s sales

• These are any activities with our Kiwanis club • Ones we’ve done since April are: o o o o o o o

• These are the Key Club approved programs that benefit children • Included are activities with the Children’s Miracle Network, the Eliminate Project, the March of Dimes, PTP, UNICEF, etc.

Scrapbook Contest Guidelines

Scrapbook Scoring Use a photoshop program to remove extraneous views from photos, to alter lighting contrast, etc. Pictures do not always come to the editor having been correctly taken or framed.

Do NOT “dump� pictures into the newsletter without first having edited or cropped them!
