City Point Realty - Administrative Coordinator City Point Realty seeks a full-time administrative coordinator to maintain the front office and assist with back office operations for our boutique real estate firm. The coordinator will interact with clients and industry professionals, prepare documents and correspondence, and provide marketing support as needed. Duties of the coordinator include: Administrative Duties • Lead processing: Set up and maintain client accounts in the MLS (Multiple Listing Service) • Perform routine property searches based on agent requests and client criteria • Organize and schedule client appointments with City Point agents • Data entry : Enter and update listings in the MLS and maintain online database of active property listings • Assemble listing booklets: Prepare comps, create documents and gather marketing materials • Set up and track listings via online real estate web services used to market properties • Set up clients to receive traffic reports from online real estate web services • Prepare and modify documents including contract drafts, correspondence, reports and emails • Document management: Ensure that documents are complete, signed, scanned, entered and filed • Input/update contact and client information in company database • Answer telephone and provide callers and visitors with assistance in helpful and professional manner • Assist agents with labels and mailings • Provide additional support through copying, faxing and mailing as requested by supervisors • Notify agents of upcoming listing expirations • Liaison with agents on new office systems and directives • Maintain office supply inventories • Set up and train new agents on phone system and voicemail • For office meetings: Order food and beverages, create agenda and notify agents and staff Marketing Support Duties • Use templates to design marketing collateral, including flyers and brochures • Coordinate with vendors to procure marketing collateral • Maintain stock of marketing materials for each active listing • Send follow-up feedback forms to clients after transactions are completed • Maintain schedule for lease expirations and send prospecting emails as needed • Send mailings to past clients or prospects as requested • Write, design and blast e-marketing campaigns to industry professionals via Constant Contact • For open houses: Order food and beverages, send e-blast to brokers, promote via online services and stock brochures Desired Skill Set: • Quick learner who adapts easily to new concepts and technologies • Attention to detail • Go-getter with high-energy and an ability to multitask • Good problem solving, organizing and task prioritizing skills • Comfortable working independently and with a group • Able to support salespeople, to anticipate their needs and always be a step ahead • Able to handle stress and deal well with a fast-paced environment to keep up with the demands of the real estate profession • Professionalism in communication is a must – face-to-face, email and telephone • Mac experience a plus • Real Estate office experience is a plus • Graphic design skills are a plus (Adobe InDesign and Illustrator)
