EXTENDED SCHOOL ENRICHMENT 2020 – 2021 parent/guardian guide

Extended School Enrichment is founded on the belief that each and every student is capable of success. We are committed to setting high expectations and assuring the development of a strong foundation in basic life skills.


Extended School Enrichment (ESE) is open to all children enrolled in K-6 with Carmel Clay Schools.


Each of the eleven elementary school sites will have the same core components of ESE, with each school customized to serve the best interests of the students and parents/guardians. Please visit our website for child’s site-specific ESE schedule. The following is an example of a daily ESE program day:

The ESE program is characterized by sensitivity and respect for all individuals. ESE promotes positive student interaction, self-control, personal responsibility and respect for others. Expectations and consequences permit students an opportunity to eliminate inappropriate behavior.

Behavior guidelines are enforced:

• By all staff members at all times. • In substantial part by adult role modeling. • Using techniques that promote the growth of positive self-esteem. • As close to the source as is possible. • By holding students accountable for their actions. • By keeping parents informed. • By limiting group discipline to a maximum of 1 minute. • Through implementation of the Behavior Consequence Rubric.


Your child(ren) will be participating in many outdoor activities. Be sure they are appropriately dressed for the weather.

ESE refund policy

Payments may not be transferred or refunded after the final program day of the respective program month (i.e. payments made for the month of August 2020, will not be transferred or refunded after August 31, 2020). All refunds are subject to a $10 service charge per participant per cancelled program/pass.

School’s out refund policy

Cancellations for a camp week/day must be requested a minimum of two weeks from the start date to receive a full refund, less a $10 service charge for cancellation per camp week/day per camper.

PARENT/GUARDIAN SIGN-IN & SIGN-OUT PROTOCOLS The ESE sign-in/sign-out process might look slightly different at your child’s school during the 20/21 school year due to COVID-19 precautions. Please work with your child’s ESE Site Supervisor to understand all sign-in/sign-out protocols prior to your child’s first day of attendance at ESE. In order to alleviate some of the congestion during heavy pick up times, we respectfully ask all parents/ guardians to call/text the site phone 15 – 20 minutes in advance of their arrival so we can have their child ready to go. Conversations about an ESE student’s program participation (e.g. behavior, account questions, etc) will not take place at sign-in/sign-out to help expedite the process. If a parent/ guardian needs to discuss any aspect of their child’s ESE participation, we ask that they request a phone call from a supervisor to occur before or after program hours. Staff will work diligently to ensure that this follow-up occurs promptly upon the parent/guardian’s request. Students are only released to individuals listed as “authorized pick-ups” who must be at least 16 years of age and must be listed within the participant’s online account. All ESE staff is required to check identification of authorized individuals. Late fees will be assessed to any pick-ups after 6:00 p.m.; the charge is $1 for every minute late per child (e.g. a child picked up at 6:04 p.m. equals a late fee charge of $4).


ESE staff and students will practice live emergency drills throughout the school year simulating various emergencies to ensure proper preparation in the case of an actual crisis during the ESE program.


If it is necessary for an ESE participant to be administered medication during the before and/or after school program, then the parent/guardian must provide the medication in it’s original container to the ESE Site Supervisor or Assistant Site Supervisor in addition to completing the ESE Medication Permission Log. Please note that medication will be administered as stated on the container label. Furthermore, ESE will not have access to the nurse’s station during program hours, so medication must be provided for exclusive use during the ESE program. Medication will be secured in a locked area during non-program hours.

WEATHER POLICY + PROGRAM CLOSURE Two-hour Delays With Carmel Clay Schools

ESE will operate as usual aside from extending before school programs from 1 hour to 3 hours. Standard ESE before school drop in rates will apply to all participants not attending with applicable monthly enrollment option.

School Closing During Before School Program

If CCS decides to close during the before school program, then ESE will work closely with the school to contact parents/guardians. ESE participants must be picked up by an authorized individual by 10 a.m. A $1 per minute late pick-up fee will be assessed per child for any participant remaining at ESE after the designated 10 a.m. pick up time.

Students Report to School, but School is Cancelled

ESE after school program will not run if school is cancelled and will work closely with the school personnel to ensure all students are sent home by way of the method in which their parent/guardian has indicated.

School is Cancelled and Students Do NOT Report

In the event of CCS school closure, neither the before or after school program will run.

School’s Out Camp Delays and Cancellations

Since School’s Out camps do not occur around the school day, the decision to delay or cancel rests with the ESE Director. ESE staff will alert families of enrolled participants via email in the event of a delay or cancellation. Information can also be found on CCPR website and social media.

LATE START BEFORE SCHOOL PROGRAM Approximately twice per month, CCS elementary schools will delay the school start time from 7:50 a.m. to 8:30 a.m. On these select days, ESE will offer before school programming at no cost to CCS elementary school enrolled families. In order to receive care for your student on those days, please sign the child up for the ESE Late Start Before School program prior to the start of the specific program date. ESE will not allow participants to attend the late start before school program without prior enrollment in the program.


ESE participants will be required to wear a face covering any time physical distancing is not possible. This includes, but is not limited to: entering or exiting the building, transitions from one program space to another, waiting in line, participating in select activities, etc. Working with the CCS building principal and/or their designee, ESE supervisors will determine when student face coverings should be worn or can be removed (e.g. face covering may be removed at outdoor recess or during strenuous activity when physical distancing is an option).


CCS Food Services will provide pre-wrapped menu items for a grab and go style delivery of food items. Participants will be expected to wash hands or use hand sanitizer prior to eating snack or breakfast. Whenever possible, participants will stay with their pods to eat “picnic style” outdoors. Each student will be supervised with hand washing/hand sanitizer before they eat. Participants will also be permitted to bring breakfast and/or snack from home for consumption during designated ESE breakfast/snack times.

Drinking fountains/water

Drinking fountains will not be permitted for use at school facilities. Students are encouraged to bring a labeled bottle for water to ESE each day.

Sunscreen/increased outdoor program time

ESE programs will spend as much time as possible outdoors during program time to encourage physical distancing, active play and fresh air. If desired, participants may self-apply parent-provided sunscreen with the guidance of staff prior to participating in outdoor activities. Parent/guardian must provide sunscreen to be used during ESE to supervisor. Sunscreen should be labeled with child’s name and will be kept on-site for child’s exclusive use while at ESE.


Participants will wash their hands or use hand sanitizer prior to recess and after designated recess time. ESE will utilize school playground equipment as long as the equipment remains open per CCS.

Monitoring for sign of illness

Staff will monitor children looking for signs of illness and will notify the appropriate personnel if a child develops a constant cough, shortness of breath or appears to have a fever. Parent/guardian may be called for immediate pick-up, and child may be prohibited from attending ESE until fever free for 72 hours. Prompt pick-up is expected in this situation, and lack of promptness or communication may result in suspension from attendance in ESE programs. CCPR will identify a designated isolation area at each ESE location for those participants that become ill. Staff will monitor coughing and sneezing and will be trained to require participants to immediately wash hands if caught doing so. Additionally, staff will work to educate participants to cough and sneeze into their elbows. Parents/guardians are our best defense against the spread of viruses at ESE. In order to operate under the current circumstances every effort will be made to educate parents/guardians to ensure that children are not sent to school sick.

Behavior management

Participants must be able to successfully participate with program changes necessary for increased health and safety of other students and staff. A Modified Behavior Consequence Rubric will be made available to all parents/guardians. Parent/guardian will be offered education on health and safety reasons behind modified behavior rubric. Physical prompting and physical intervention of students (e.g. use of CPI interventions for trained staff members) is highly discouraged, however if required, staff will follow hand washing protocol. Parent/guardian may be contacted for immediate pick up from the program if any of these techniques must be utilized.

Outside vendors, field trips, site celebrations, parent’s night out

Special programs (e.g. Site Celebrations) inviting parents/guardians into the ESE program will be temporarily suspended. Parent’s Night Out events will be temporarily suspended. ESE will not offer external vendors and/or field trips during the fall semester. We will re-evaluate for the spring semester.
