Exhibitor’s Service Manual

On-Site Show Manager: Kristen Moon PH: 404-635-6862 Show Hours: Sunday, May 4, 1:00PM to 6:00PM (VIP brides enter at 1pm, general admission at 2pm) Exhibitor Move In: Start time: 8:00AM Set-up complete by: 12:30PM (no late entries – booth will be forfeited) Expo starts at 1:00PM; all exhibitors must be check-in by 12:00PM and fully set-up by 12:30PM Loading and Unloading: All vendors and equipment can be brought in directly through the loading dock or entrance door leading to ballroom. Please look for signage directing you where to go. No vendors can enter through the hotel lobby. Carts are NOT available, so we suggest you bring your own cart and helpers for carrying equipment. Exhibitor Move Out: Move out time: 6:00PM. Please do not breakdown your booth area before 6:00PM. Move out must be complete by 8:00PM.


Day of Logistics & Expo Tips

Sonesta Hotel offers free parking for vendors & guests.

Before entering the ballroom and looking for your booth, please check in at the front desk. A Bridal Ball staff member will show you to your booth location.

The expo space will have wireless internet. An internet code will be provided to you the day of the expo.

Only the vendors who requested an electrical outlet during registration will have a location with an outlet. If you plug into an outlet the day of the expo without ordering one in advance, you will be charged by the hotel. Electrical outlets must be ordered prior to the expo.

Vendors must dress to impress. No jeans and no sneakers allowed. This is a luxury bridal expo; please dress like a luxury bridal vendor.

There will be a lot of standing so please wear comfortable shoes.

Please bring lunch/snacks with you. It is advised to bring food and water with you since it will be a long day and all booth spaces cannot be left unattended.

If you will be providing food samples at your booth, we need to know in advance.

VIP brides will receive early admission into the expo, starting at 1pm. This is your chance to talk with the VIP brides before the crowd rushes in. General admission starts at 2pm. Please make sure your booth is fully set-up by 1pm in order to make a positive impression on the VIP brides.

We understand that Atlanta has a great deal of traffic and being late can sometimes not be avoided, but we ask that all vendors plan ahead. If you do not check-in by 12:00PM your booth space will be broken down and all money paid will be forfeited. It looks unprofessional to be setting up your booth in front of the brides. Check-in ends at 12:00PM, all booths must be set-up by 12:30PM, doors open at 1:00PM. No excuses.


Addendum A Please note that this document must be signed the day of the expo in order to gain entry on the expo floor.

CHILDREN: No children under the age of 16 may be on the expo floor during expo times. BOOTH RESTRICTIONS: • Attaching signs or anything else in any way to posts, walls, seating areas, columns or any other piece of hotel property is strictly prohibited. • Uncovered open flames are not allowed, per fire marshal safety codes. This includes candles, incense and Bunsen burners. • Subletting and sharing of booths is not allowed. If you are caught doing this you will forfeit the bridal lead list. • Literature, business cards, and all promotional material must not include the name, phone number, address or any other information about any other company besides that represented by your booth. If you are caught doing this you will forfeit the bridal lead list. • No literature maybe handed out in any other part of the show – outside the perimeters of your booth. • Management reserves the right to breakdown any booth(s) not set up by 30 minutes prior to the expo start time. If booth is resold, Exhibitor forfeits all monies paid. • All booths must stay assembled until closing. Wedding One Atlanta LLC reserves the right to withhold the mailing list of attendees from any company that breaks their booth down early. Banners, signs, items on display and anything in or on the booth must stay intact until the show is over. AMPLIFIED SOUND: booth area.

Amplified sound is not allowed during show hours. Please do not play music in your

INSURANCE: Exhibitor is solely responsible for any and all occurrences inside his or her booth. If any damage is caused to hotel property it is the sole responsibility of the exhibitor who caused the damage and Wedding One Atlanta LLC will not be liable. It is recommended that each company carry off-premise liability insurance. MAILING LISTS: Mailing lists remain the property of Wedding One Atlanta LLC. Use is limited to participating exhibitors only. Any company distributing mailing lists to non-participating companies will be fined $500. FOOD SAMPLING: No sampling; except through the written permission granted by Wedding One Atlanta LLC. If you intend to provide food samples at your booth we need to know in advance.
