As an all in one ceremony and reception venue; we invite you to wed in our private gardens framed by our historic bridge, before celebrating your nuptials in the Moorabool Room. Our picturesque outdoor area is ideal for posing for photographs, sipping champagne and spending private time with your loved ones. With views out to the Moorabool River and surrounding gardens, the Moorabool Room at the Batesford Hotel offers one of Geelong’s most beautiful wedding venues. Our in-house chef has designed a wedding menu to cater to all tastes or preferences and is flexible to accommodate your needs. Our food, as striking as our venue, is guaranteed to delight and satisfy. Onsite there is also the Bateford Café and Bar that provides a place for your guests to gather and catch up for a beverage whether it be a coffee or pint, between the ceremony ending and official reception starting. We understand that everyone is different and we don’t offer a one – wedding – fits – all arrangement. From our initial meeting until your special day arrives, you will receive personalised care and attention from Tanya Bennett, our resident expert Wedding & Function Manager. Tanya is more than happy to tailor options to suit different personalities, styles, budgets and wedding sizes. PARKING Ample off-street parking is provided at the rear of the building. Guests can enter the car park via the driveway on the left hand side of the hotel when driving from Geelong. All parking is free of charge.
ENTERTAINMENT The Moorabool Room has its own stereo system allowing guests to play their selection of music. If you wish to bring your own CDs or iPod, we are happy to play them for you as background music. Bands and DJs are more than welcome. Please consult with the Wedding and Function Manager before engaging a band larger than four pieces. Sound checks must be conducted prior to the commencement of the event in the presence of a Batesford Hotel Event Supervisor and we do insist that DJs and bands keep the volume to a reasonable level. Equipment can only be delivered/collected during times agreed by the Batesford Hotel Wedding and Function manager.
CHILDREN 3 – 12 YEARS OF AGE Two courses (mains and dessert) $20 Children are welcome to attend any function. Children’s menus are available upon request and, as with all menus, a selection is to be made prior to the event. All prices include soft drink and juice for the duration of the event.
PRE DINNER DRINKS If you are holding both your ceremony and reception at the Batesford Hotel your guests are welcome to spend time at our public bar or at the Batesford Café prior to entry to the venue
CEREMONY The Batesford Hotel has the ideal outdoor location for your wedding ceremony; situated on the edge of the Moorabool River framed by a beautiful bluestone bridge dating from 1859. Ceremonies at the Batesford Hotel are only possible in conjunction with your reception and may be held up to three hours prior to your reception for a fee of $300. During unfavourable weather your ceremony can be relocated to our spacious, undercover terrace overlooking the gardens.

DECORATIONS You may wish to provide floral arrangements, candles, balloons, name place cards or centrepieces for the room and table settings. We are happy to arrange our function room with your personalised decorations. No confetti, glitter or beads are allowed. No adhesives, nails or staples are to be used.
MENU AND BEVERAGE PACKAGES An appointment will be set up one month prior to your wedding to discuss your final menu options and to confirm your menu with the Wedding and Function Manager. We are happy to accommodate individual tastes and preferences around our wedding menus. Also, please ensure that you notify us of any special dietary needs at the time of confirming your final numbers.
FINAL ATTENDANCE Final guest numbers are required 14 days prior to the event. The final payment is based on this attendance number and will not be altered if numbers change.
DEPOSIT & CONFIRMATION We are able to tentatively hold a date for a period of seven days, after which time, if verbal confirmation has not been received the date will be released. Once you have advised your intention to confirm we will set up an initial appointment with the Wedding and Function Manager to complete the booking agreement. A deposit of $600 is required for events held in either of our function venues.. Deposits are required in full at the initial appointment. Deposits are non refundable
PRICES All prices quoted are inclusive of GST. Quoted prices shall remain fixed once payment of deposit is received. Otherwise prices are current and subject to change. Please note a public holiday surcharge of 10% applies to all functions booked on public holiday weekends. A credit card surcharge will apply on all transactions to Visa and Mastercard of 2%.
WEDDING APPOINTMENTS With each wedding package you are entitled to three appointments with the Wedding and Function Manager. Initial appointment (After verbal confirmation has been received) - Confirm the booking and talk about your initial wedding ideas.
Second appointment (Two months prior to the wedding)
- Finalise all details of the wedding (excluding the menu choices).
Third appointment (One month prior to the wedding) - Discuss and confirm menu choices Additional meetings will be charged at $100 per appointment and billed along with the final payment.
CANCELLATION POLICY Cancellation of a function will result in a loss of deposit and an additional cancellation fee. Any notice to cancel must be made in writing. Cancellation Fee: 50% - up to 3 months, 75% - up to 1 month, 100% - up to 7 days and after.
PROPERTY Any damage caused to property and fittings at BATESFORD HOTEL during a function is the financial responsibility of the organiser (organiser being the signatory on the booking form). While all reasonable care is taken, BATESFORD HOTEL cannot be held responsible for loss or damage to personal property.
PAYMENT STRUCTURE In addition to the deposit, fifty per cent of the estimated spend will be due no less than four months prior to your wedding. Your Wedding and Function manager will contact you prior to the date to arrange payment. Full payment based on your confirmed guest numbers and package will be due no later than 6 days prior to your wedding.
