YEARBOOK 101

Get familiar with the yearbook terms we’ll be using all year. Headline

—an attention-grabbing title for your page that draws the reader to content. Get creative with your headlines to add impact and style to your yearbook. Avoid label-style headlines that only identify the content of the page, such as “School Picnic.”

Theme Graphics

—any art used as an accent or embellishment on a page or spread. Choose from your Balfour’s collection or upload your own.

White Space

—the empty area around your spread that is not covered by photos, text or other graphic elements. Gives the reader space to “breathe” in your layout. Avoid the urge to fill every inch of your pages.

Double-Page Spread —two facing pages in the yearbook, also referred to as a DPS.


Yearbook Terminology

Gutter

—the center of a spread where two facing pages meet. Elements can cross over the gutter, but avoid placing text or faces in this area of the spread.

Bleeding a Photo —photos that intentionally run into the outside margins and off the page.

Dominant Photo

—the largest photo on a page or spread. It is typically two to three times larger than any other element on the page. Always use a strong image for the dominant photo.

Text Justification

—the way text is placed within the text box. This example shows text centered in the text box. Text that is aligned on the left side of the text box is flush-left raggedright, the easiest alignment to read. When it aligns to the right it is flush-right ragged-left.

Caption

—descriptions of the action captured in photos. Captions tell Who and What and may be expanded to include When, Where and How. If space permits, identify people in groups smaller than five with first and last names.

Candid Picture

—images taken of students or faculty around the school or at events. Plan your candid photo coverage early in the year to make sure all events are covered.

Page Folio

Spread: Grace School, Houston, TX

—the page numbers, traditionally placed at the bottom corners of a spread. Folios may contain a page identification (football), or section label (sports). In addition, art that supports the yearbook theme can be placed next to page numbers.

PSPI Disk/Download

—removing the unnecessary area around a photo so the subject is the focal point. Cropping photos can be done directly in a company’s software or by using an editing tool like Adobe® Photoshop®.

—the outside of the yearbook which protects the contents. Cover designs are only limited by your imagination. You have a variety of options for cover materials and applications from which to choose. Three cover options are available: pre-designed covers in the SimplyCreate catalog; an original design created by the staff; a custom cover designed by a Balfour artist.

—the section of your yearbook used to alphabetically display portrait photos. Portraits should have consistent head sizes and uniform backgrounds.

—disks provided by school photographer with your school portraits. Portraits are delivered to you in the fall. Ask upfront for the expected delivery date and format (physical disk or digital download). Work with your representative for help loading and placing portraits on panel pages.

Deadlines

—the date your pages or cover must be published and on record as received at Balfour in order to keep your production schedule on track. Deadline planning is essential for a successful yearbook. Keep your deadlines front-and-center by writing them on page 1 of this book and setting alerts or reminders.

—a page-by-page listing of the yearbook’s contents. This helps yearbook staff members plan coverage and track their yearbook’s progress.

—an 8-page current events magazine covering the happenings of the year. It can be added to your yearbook as a sewn-in option or offered as a glue-in accessory in your online store.

—a 16-page grouping made up of two 8-page flats. Each signature is folded, sewn together and trimmed to create your yearbook. When planning deadlines, schedule submission of complete signatures when possible.

—the process of stamping a name directly onto a yearbook cover (name stamping) or onto a silver or gold plate (name plates) for an additional fee. Contact your representative for pricing.

—a look and feel that will be applied throughout your yearbook. It includes limited fonts, color palettes and graphic elements for consistency. Choosing a theme establishes a tone and streamlines design decisions.

Yearbook Sales Manager

—a person who manages the yearbook promotion and sales plan.

Grade Level

—grade level identifications on each spread of portrait pages. It’s easy to leave this important detail off, but no identifications can result in your readers feeling lost in the people section of your book.

Based on your budget, decide the selling price of your yearbook. It is best to set a tiered pricing structure to encourage buyers to make their purchases early.

Does your school traditionally sell student or business ads? Work with your rep to set profitable prices based on book size and budget.

Set your program up for success

by making yearbook sales and marketing a priority. Creating the yearbook is an important part of the job, but making sure your buyers know how to get a copy is equally as important. This section will walk you though everything you need to know to market and promote your yearbook.

Involve your influencer

Have your principal or students on the yearbook staff send a voice mail using the school system. Use the provided voice mail script.

Advertise on social media

Use social media badges to promote NBYYD on your school’s Facebook, Twitter or Instagram accounts. If your school does not have an official account, ask students and parent volunteers to promote the sale using their personal accounts.

Deliver the message

YEARBOOK DESIGN

When you design layouts for the yearbook, you choose to arrange pictures, words and graphics on a page to best tell the stories of the year. Don’t worry; you don’t have to be a great artist to produce a great yearbook. In this section, we’ll cover the steps to design layouts.

1. Start early!

Designing your yearbook pages will be the most fun but also the most time-intensive part of the yearbook process. Be sure to complete your page planner within the first month of school to build a foundation for success.

2. Gather ideas

Inspiration can come from anywhere, so always be on the lookout. Start with Yearbook Yearbook. It includes yearbook covers and layouts from schools from coast to coast and abroad! Your yearbook representative can provide you with sample yearbooks to show you how other schools plan their coverage. Frequently check out our Pinterest boards for trendy ideas.

■ TITLE PAGE - Include all essential information: name of book, theme, school, complete address, volume #. ■ DIVISION PAGES - Separate the sections of the book: grade levels, academics, student life, clubs and sports.

3. Choose a theme

Deciding on a theme is one of the most creative and important things for the staff to do. A theme helps tie a yearbook together, both verbally and visually. The theme sets the tone for your book. Your theme should include a main word or phrase as well as spin-off phrases that can be used for continuity throughout the book. Design graphics that coordinate with your theme design. Elements from your theme should appear in the locations shown on the right.

4. Create a style guide

Whether your yearbook is 16 pages or 160, having a style guide is imperative. This helps create consistency in your yearbook. Fill out the Master Style Planner sheet on pages 25-27 and refer to it often throughout the year. ■ CHOOSE FONTS - Balfour offers a wide array of font options, but it’s best to limit your fonts to a small collection of three. Pick an easy-to-read font for text and student names, pick a headline font for your main text, and mix in a fun, decorative font to reflect the tone of the theme. 5. Try a practice layout

Before designing your actual pages, try creating a sample layout. This process helps you decide what you like and dislike and familiarizes you with the software program. Not sure where to start? Try one of Balfour’s professionally designed templates built into your software, and then edit to add your own touches.

6. Photo variety and placement

Photos are the stars of your yearbook designs. Remember people buy yearbooks to see their faces, so include as many as possible. Vary the number of students in pictures: one, two, three, small group, large group. Focus on students rather than teachers and staff.

PICTURE PERFECT PORTRAITS

School portraits make a yearbook a yearbook! a lot of work goes into getting those smiling faces! Use this guide to streamline your portrait pages!

1. Select dates

Confirm your school’s picture and retake dates. You may discover it is your responsibility as yearbook adviser to secure these dates with the school photographer. If so, contact early for the best selection of dates.

2. Contact your photographer

Introduce yourself to the photography representative and coordinate delivery of the portrait photos. Most companies send a disk or digital download after retake day. Get an estimate on when you can expect these images, and plan deadlines accordingly.

4. Make portrait layout decisions

Decisions, decisions! Based on your school type, you may have decisions to make when it comes to portraits. Which grade goes first? Should portraits be run alphabetically, blending grades, or separately according to classes? While there is no right or wrong answer to these questions, it is best to consult your representative

3. Privacy and FERPA

Meet with your school administrator and discuss how the Family Educational Rights and Privacy Act (FERPA) can affect the yearbook portraits. Parents are asked to sign a privacy release at the beginning of school; parents who opt out may also be opting out of their child’s photo being printed in the yearbook. You may need additional permission from parents before publishing their child’s portrait in the yearbook. To have time to handle potential challenges, request this information within the first two months of school.

5. Portrait flowing

Once you get your portraits from your photographer, schedule a meeting with your representative or account executive to discuss flowing. Have the layout format, font, and page number/range handy for each class or grade to make portrait flowing quick and easy.

6. Handling missing portraits

There are a few common ways schools handle missing portraits for those who were absent on picture day or enrolled later in the year. Your deadlines for your portrait pages will determine your best course of action.

7. Handling students who withdraw from school

Traditionally, students who move or withdraw are still pictured in the yearbook with their classes. Because students can re-enroll, leaving their photos in the yearbook is advised.

8. Handling formal vs. nicknames for students Decide early whether to use students’ given names on file with the school or to allow students to be listed by their preferred name or nickname in the yearbook. If in doubt, consult school administration.

9. Collecting teacher photos

Many teachers may be unaware their photos also appear in the yearbook. It’s time consuming to hunt down teachers and take their photos after the fact, so be proactive and enlist your principal’s help prior to picture day. Ask the principal to encourage teachers to have their photos taken, and find out if any incentives can be offered to teachers who participate willingly, like casual Friday or even the chance to win a free yearbook! You may also arrange to have portraits taken before Open House or in-service meetings.

10. Proofing your portraits

While the list provided from the photography company comes from the front office, it may not ensure complete accuracy of student names and grades/classes. Allow for plenty of time for proofing by the teachers or counselors (two weeks is preferred). The Portrait Proofing Checklist on page 22 can be copied and distributed with portrait pages.
