1 Fortune 1000 Ranking – Clearing Additional Fields 1.1 Mark All 1.1.1

Clear Additional Fields

The process of updating the Fortune 1000 Ranking for your company contacts requires that you first clear the existing values. The reason for this is that when you import new values, there may be companies that were on last year’s list that are not on this year’s list. In this case, you would have two companies that would share the same rank. That being said, the first step is to open the Company/Person contacts folder from within the InterAction Windows Client and ‘Mark All’ contacts. Once you have marked all contacts, select Mark Clear Additional Field… When the Select Additional Field box appears, you would select the Fortune 1000 Ranking additional field from the list and select ‘OK’. This should clear all values from the Additional Field and allow you now to move on to preparing your import file.

Purpose

A VBA macro which connects to a database, queries for and returns Listing_ID and Listing_src_ID values based off of unique ‘Entity DUNS’ numbers provided in an excel spread sheet. Once retrieved, these numbers will allow an Advanced Import of the file via the InterAction Windows Client which will update matched company contacts in InterAction with the supplied Fortune 1000 Ranking in. 2.1.2

Process

The aforementioned process is accomplished via a Microsoft Excel spread sheet with an embedded macro. The spread sheet serves as a template that should remain unchanged. It contains a macro that is hard coded to connect to a server / database with a user id and password, and brings back identifier information for each company record on the list. This will be needed later during the Advanced Import process. It should be noted that if either the location of the server / database or the login credentials change then there will need to be a change made to the macro. Each version will be coded for its environment. The current version (v1) is coded for the PwC Dev environment, obviously once this makes it to production it will be coded accordingly. Open the file (‘Fortune 1000 update Template – Do Not Change.xls’), and paste into column A the Rankings and their corresponding DUNS number in Column B. There is no need to save this file, ever because the macro will write a .csv file to a specified location with your current data. Any saving of this file may alter the functionality of the macro. Once you have columns A and B populated, click on the “Run Fortune 1000 macro” command button in the active worksheet. Once you click on the button, a message box will alert you of the macro that’s about to run. Click OK and wait for the macro to finnish. The Macro should take a few minutes to run depending on network traffic. Once the macro has completed running it should return control to the screen but now with two extra columns populated (Listing ID and Listing Source ID). By default the macro is coded to write a file named ‘Fortune1000_Import.csv’ to the C: drive of the computer you are running this from. You may want to check this location to ensure the file was written. Open the file with a text editor such as notepad to verify the output, you should see a comma delimited file with four columns of data, Ranking, Entity Duns, Listing ID, and Listing Source ID. This is the file you will use for Advanced Import.

If this macro has been run before, there is a good chance you will be writing over the last file written from the macro so an alert may be thrown asking if its okay to over write the file. If this is the case, chose ‘Yes’ and then just click exit as many times as needed to exit MS Excel. It may ask you to save changes but as stated DO NOT SAVE, and chose to exit. Remember, the work you are about to import has already been written to another file, saving this file will only compromise the macro.

The macro needs to be run on a pc that has an active and open connection to the PWC network. Basic functionality looks for the database on a given server (For Development and testing it’s pointed towards the Interaction database on server USTPA3IFSSQ102.) If there is no connection or perhaps a break in connectivity during the operation a VB error may be thrown. In this case, chose ‘End’ and close the spreadsheet WITHOUT saving and ensure connectivity. Re-open the file. Re-populate the necessary columns (A and B) and select the macro icon as in the steps mentioned above.

Advanced Import Instructions

Once you have run the macro and verified you have a .csv file with the necessary data you are ready to move on the importing this file into InterAction using the Advanced Import feature. This feature is a powerful tool which allows you import files of large amounts of data, updating many contact records at once. The only requirement from Advanced Import is a unique contact identifier which Interaction uses to match contacts on the file with contact records already in InterAction. This is the reason for running the macro to obtain Listing ID and Listing Source ID, allowing interaction to match up with those companies on import and assign to them the Ranking value supplied in the csv file. Otherwise this would require a manual update of each of the companies on the list. 3.1.2

Advanced Import Instructions

You must be logged into InterAction Windows client as an Administrator to use Advanced Import. Once logged in, select Data Quality Services  Advanced Import. When the Advanced Import Screen pops up, browse to the file that we just created using the Fortune 1000 macro by selecting the icon next to the File name text box as shown below in Figure 1. Leave import as Default and select the check box next to ‘File has headers’. ‘Select the Fortune 1000 Import’ Import instructions and make sure its highlighted, finish by hitting ‘OK’. After the import has finished you may want to spot check the companies on your list in InterAction and verify they have received the appropriate ranking. Figure 1
