AssentireÂŽ Innovation Audit 3.0 Exploring Agility in Groups & Teams

Getting Started with Navigating Collaboration Assentire Ltd Š 2018

Accelerating Collaboration EverywhereÂŽ

Why has the Innovation Audit been created? In a fast changing and increasingly complex world, it is those teams that are agile and unafraid to try new ideas (to trip and learn) that will be most effective. Those able to flex and change quickly as the market requires, without losing cohesion and strategic direction will be the ones that lead the way. In order for this potentially different way of thinking & working to be most effective, the context in which the team operates needs to be supportive. To maximise this potential, the team and organisation need to be aligned and be able to work in both a high performance and a learning environment at the same time.

What is to be gained by using this approach? • An understanding of the Group Dynamic and the Environment Dynamic. These two interrelated dynamics directly impact how agile and collaborative groups and teams will be. • The Environment Dynamic: In general, these factors ‘enable’ greater collaboration, higher performance & effectiveness of the groups or teams. If you believe you are experiencing ‘resistance to change’ this is a good place to start. • The Learning Dynamic: When this dominates, the group will be experiencing greater learning behaviours, inspiring creativity, innovation and agile behaviours. • The Control Dynamic: When this dominates, the group will be experiencing greater controlling behaviours suppressing creativity, innovation, resulting in less agile behaviours.

Outcome You will establish a common language to discuss the invisible dynamics in play. You will be able to decide what type of group you need as you grow and define how you can all get there.

Special Edition Navigating Collaboration IA3.0 Boxed Set or Taster Kit* resources. • Run a 45 minute serious play session called ‘Navigating Collaboration’, enabling a group , working together to better understand how they individually and collectively see how they work. Then next, identify what they would like to do differently in terms of follow-on actions. We recommend exploring the Learning Dynamic and Environment Dynamic first of all. Only explore the Control Dynamic when the group or team is ready to do so. • Run a 2.5 Hour intervention suitable for a group working together. Designed to get behind the detail of the Dynamic you are working on. • Run an intervention suitable for multiple groups of people when you have multiple Boxed Sets and/or Taster Kits.

Innovation Audit 3.0 Online Profile option There is also an online version of this framework. The questions are structured to explore each individual’s perceptions of the group’s behaviours as well as the environment the group works within. https://getcollaborating.com/profile *Note. Boxed Set supports 2 to 8 players and the Taster Kit supports 2 to 4 players

Purpose: Develop awareness and provide a framework and language to explore team and group dynamics Typical time: 45 minutes per domain explored A tabletop game for a group of 2 to 8 using the Boxes Set and 2 to 4 players for the Taster Kit with instructions on the tabletop poster Use duplicate resources for additional groups Part 1 • Explore the perceptions of group members in term of how the group behaves using the set of 10 statement cards for the domain you would like to explore. Note: Decide if you would like to use the score sheets discussed on the following pages before you begin. • We recommend exploring the Environment Dynamic, then the Learning Dynamic and then finally the Control Dynamic. Only explore the Control Dynamic when there is a reasonable level of trust and openness within the group. Part 2 & 3 • Place the 1st and 2nd voting cards next to the statement card(s) (0-9 on the tabletop poster or board) you, as an individual would like to see change (each person gets two votes. Part 4 • Place the ‘We need help here’ card next to the statement card (0-9 on the poster or board) you believe the group needs external help to bring about change. Part 5 • Place the ‘The Change Card’ next to the statement card the GROUP believe needs to change. This is the GROUP’S Magic Wand time! The one change that would make all the difference.

Note: The tabletop poster shown over, is used with the Taster Kit. The Boxed Set tabletop board has an alternative design. The same elements are included so the instruction above equally apply. Assentire Ltd © 2018

1 to 4 players, one round takes typically 30 minutes Set Up Each player has a set of 10 score cards 1 to 10 with the same colour piece printed on the score side. Collect the colour pieces that match the score card set. Stack the Voting Cards in the two boxes to the left. Stack the Help Cards and Change Card below. Shuffle the Randomize Cards and place on the board.

1st Voting Cards Step 2. Place the 1st Voting Card next to the Dynamic you would like to see change using the card with the same colour as the pieces you have used for Step 1 of the game

Select which Dynamic you are going to play: Environment, Learning or Control Dynamic Place the Dynamic Cards face down in the numbered boxes below.

2nd Voting Cards

How to Play Step 1 In turn, pick up a Randomize Card and turn over the Dynamic card with the same number. Take it in turns to read the main statement aloud. Start a timer for the agreed time (suggest 60 seconds) Each player places one of their 10 Score Cards, face down in front of them . Scoring 1 if you don‘t see the behaviour, and 10 where you often see this behaviour (or anywhere in between). When all score cards have been placed face down, turn them over to share the scores with each other

Step 3. Place the 2nd Voting Card next to the Dynamic you would like to see change, using the same colour

When the timer has stopped, each player now places one of their game pieces on the score scale on the board using the same colour as printed on the score card. Repeat with the remaining Dynamic cards. Once completed you can start voting.

Purpose: Contrast the learning behaviours (Learning Dynamic) in the group or team, with the organisational behaviours (Environment Dynamic). The organisational behaviours establish the context the team or group is operating within. Score Sheet A4 Assentire® IA3.0.docx

Dynamics of agile Groups & Teams Use this score sheet to capture the results as you progress through the Navigating Collaboration card game.

Typical time: 45 minutes An intervention suitable for a group of 2 to 8 (2 to 4)* people. Provide each person with the Score sheet which is available for download and print locally.

Exploring the Learning Dynamic: Behaviours you perceive within the team or group Score the following statements in terms of your experience of your Team or Group. How strongly do you agree with the following, where 0 = Not at all and 10 = Strongly Agree

SCORE

#1. Many Views #2. Collective #3. Ask #4. Collaborate #5. Open #6. Trust #7. Understand #8. Enhanced work-life quality #9. Alignment #0. Recommend

Exploring the Environment Dynamic: The context the Group is working within Score the following statements in terms of your experience of your Team or Group. How strongly do you agree with the following, where 0 = Not at all and 10 = Strongly Agree #1. Collaboration #2. Communication #3. Choice #4. Motivation #5. Feedback #6. Development #7. Environment Dynamic

Add all scores to calculate the SUM Calculate the AVERAGE by dividing the SUM by 10

Part 1 • Ask all group members to record their scores as they explore each of the cards in the Learning and then the Environment Dynamic. Record the scores on the Score sheet, one required per person. • Highlight that the first 10 statements referenced on the sheet are exploring behaviours within the group. This is for the Learning Dynamic ONLY. • Highlight the last 10 statements referenced on the sheet are exploring behaviours between this group and the rest of the organisation. • Once the two Dynamics have been explored (20 card statements in all), allow 5 minutes for each person to total their 10 scores for the Learning Dynamic and divide by 10 to calculate the Average score for this Dynamic. Repeat for the Environment Dynamic. Part 2 • Have each participant come to the poster shown on the facing page (which you have mounted on the wall somewhere suitable), and ask them to place a sticker (which you need to source locally before hand) on the poster. • The Learning Dynamic is shown on the Y-axis (Vertical) and the Environment Dynamic on the X-axis (Horizontal) Part 3 • You will now have as many stickers on the poster as you have players. Ask members to respond to the following question. “What’s it like Monday morning working in this group?”

Purpose: Explore the ‘desired’ Dynamic the group or team wants to work on. When you see the word ‘desired’ in this text, please substitute either Environment, Learning or Control as this intervention design is the same irrespective of the Dynamic being explored. Typical time: 45 minutes Review the individual and/or collective results for the 10 ‘desired’ Dynamic statement cards. Preparing the Poster One of the print files you downloaded is for a generic A1 poster which you can print locally. Use the tabletop poster and cards to define the label to write in the title boxes above each of the 10 sticky note areas. Alternatively, you can use the Print-on-Demand service and purchase the desired laminated Dynamic poster using this link https://bit.ly/2JPgIym

Using the score sheets already completed, as a group consider the results and capture any observations by placing your notes in the boxed area for each statement on the Poster shown on the facing page. • Make a mark for each score for all segments (each segment represents one card). Each segment has 10 graduations, the outermost represents a score of 10 and the inner most a score of 1. Repeat until all players scores are represented. • Are your scores predominantly in the outer, middle or inner part of the circle, or a mix? • Are there any segments that show significantly different scores? Wonder why might that be? • Are there times when it might not be appropriate or beneficial to the group for the ’desired’ Dynamic scores to be very high or very low? • Can you think of scenarios (either in your own team or others) when high ’desired’ Dynamic scores are ‘just what are needed’? • Can you think of scenarios (either in your own team or others) when low ’desired’ Dynamics scores are ‘just what are needed’?
