ADDING A CAR ER

Select the Carer menu option Click on ‘Browse’ Enter the carer’s name in the search field at the bottom of the screen Click on the ‘Search’ button If no records are found, click the ‘New’ button at the bottom right of the screen Complete the relevant fields within the General Details screen

EXCLUSIONS

• • • • • • •

Select the ‘Exclusions’ tab Click on ‘Add’ at the bottom of the screen Enter the excluded service user surname Click on the drop down arrow Select the relevant service user Enter the ‘Reason’ for the exclusion Click ‘OK’ to save the record

Select the ‘Attributes / Preferences’ tab To enter an attribute, click on the ‘Add’ button in the top half of the screen Select the attribute(s) by clicking the appropriate tick box(s) Click ‘OK’ To enter a preference, click ‘Add’ at the bottom of the screen Select the required ‘Person Attribute’ Select whether to ‘Prefer’ or ‘Exclude’ Click ‘OK’

CONTACTS

Select the ‘Contacts’ menu option To enter one of the main contacts, click on the appropriate button at the top left of the screen Enter the name or address in the search field or select the required category Click the ‘Search’ button If the record exists, select the record by double clicking on the required contact If the record does not exist, click the ‘New’ button at the bottom left, complete the appropriate contact details including the category and the telephone details Click ‘OK’ and select the record by double clicking on the required contact The contact will then be displayed at the top of the screen and within the ‘Other Contacts’ section underneath Click into the ‘Relationship’ field and select the relationship using the drop down arrow. If the required relationship is not available, type this into the field. Continue to enter all other required contacts using the above method

SKILLS AND CAPAB ILI TI ES

Select the ‘Skills and Capabilitiess’ menu option To enter a skill or capability, click on the ‘Add’ button at the bottom of the screen Enter the name of the skill or capability in the search field at the bottom of the screen Click the ‘Find’ button If the record exists, select the record by double clicking on the required skill or capability If the record does not exist, click the ‘New’ button at the bottom left of the screen, complete the appropriate details including ‘Type’ Click ‘OK’ The skill or capability will be displayed at the top of the screen, double click on the record to apply to the carer To enter a ‘Start’ and ‘Expiry’ date against the selected skill, click into the ‘Starts’ field and use the drop down calendar to select the relevant date, repeat this process for the ‘Expires’ date

Select the ‘History’ menu option Click on the ‘New’ button at the bottom of the screen Highlight the appropriate category to display the associated event types Click the required event type Complete the required information for this event record Click ‘OK’ to save the record

SHIFT PLANNING

Select the ‘shift planning’ menu option To enter the shift plan, click the ‘New’ button in the ‘normal pattern of work’ section at the top of the screen Enter the shift type ‘standard shift’ Enter the shift ‘start time’ Enter the shift ‘end time’ Click on the Recurrence tab at the top of the screen Enter relevant week commencing date in the ‘pattern of recurrence’ date field Click the ‘occurs weekly’ radio button and tick the days required Click ‘OK’

HOLIDAY SHIF TS

Select the ‘shift planning’ menu option To enter the Holiday shift, click the ‘New’ button at the bottom of the screen Enter shift type ‘holiday shift’ Enter the holiday shift date and start time Enter the holiday shift date and end time Click ‘OK’

SICKNESS SHIFTS

Select the ‘shift planning’ menu option To enter the Sickness shift, click the ‘New’ button at the bottom of the screen Enter shift type ‘sickness shift’ Enter the sickness shift date and start time Enter the sickness shift date and end time Click ‘OK’

VISIT SCHEDU LE

Select the ‘Visit Schedule’ menu option Enter the required date range and click the ‘Refresh’ button Highlight the required visit; o To allocate the visit, right click and select ‘Allocate’ from the menu. Once the carer list appears, double click on the required carer o To de-allocate the visit, right click and select ‘De-Allocate’ from the menu, then click ‘Yes’ to proceed o To edit a visit, double click and make the required amendments o To confirm the visit, right click and select ‘Confirm’ from the menu o To cancel a visit, right click and select ‘Confirm with Exception’ and select the relevant exception To create an ad-hoc visit, click on the ‘New’ button at the bottom of the screen, complete all relevant fields and click ‘OK’

Select the ‘Financial’ menu option To change a carer contract of employment, click the ‘use the specified carer contract’ radio button, select the relevant contract from the drop down list

To add an expense, click the ‘New’ button in the ‘Expenses’ section Complete the appropriate details including the ‘credit’ or ‘debit’ radio button Click ‘OK’
