It contains some basic provisions and some little treats so you can have a stress free move-in.

To avoid disappointment, we suggest that you aim to have funds reach our account the day before your occupancy date. Generally, transfers made via internet banking will take at least 3 working days to transact. Each applicant wishing to move into the property will be required to be referenced checked by an independent industry standard referencing company at a cost of £75.00 Inc. VAT per application. All guarantors will be required to be referenced checked at a cost of £75.00 Inc. VAT.

Renewal of Tenancy Alphabet City will be in contact with both the landlord and tenant(s) 60 days prior to the tenancy end date to obtain the renewal plans for both parties. If the tenancy is renewed an agreement fee of £90.00 Inc. VAT is payable by the tenant(s) to cover the administration costs.

A standard deposit amount of one month’s rental will be held as deposit, however, the required deposit amount can vary and be up to six weeks’ rental. Unless otherwise stated your deposit amount will be one month’s rental.

Deposit A deposit equivalent to one month or six weeks rent will be held as a security for the tenant’s obligations which must be paid in cleared funds prior to the start of tenancy.

An advance rental payment equivalent to the minimum of one month’s rental will be taken prior to the commencement of tenancy.

If the property is fully managed, Alphabet City as stakeholder, will hold the deposit for the duration of tenancy in accordance with the terms of the tenancy agreement. The deposit monies will be registered and proof of registration provided on behalf of the landlord. Alphabet City registers deposits with the TDS, Tenancy Dispute Service.

An administration fee of £225.00 Inc. VAT is payable upon creation of a legally binding tenancy agreement. Please note that all move in funds must be paid in cleared funds prior to your move in date. If funds have not cleared into our account, you will not be allowed to obtain the keys for the property and your tenancy date will not be altered. References You will be required to complete an online reference form provided by an industry standard referencing company prior to tenancy. A reference will then be undertaken on the information you have provided to us. All offers are subject to references, if suitable references are not obtained your offer maybe rejected by the landlord. A copy of the referencing report will be provided to the landlord for consideration prior to your move in. All guarantors will be required to be referenced checked as part of your application. Identification All tenants / guarantors will be required to provide us with photo identification in the form of a valid passport. This must be provided along with any visas or permits if applicable. You will also be required to provide proof of address dated within the last three months in the form of a utility bill or bank statement. Right to Rent As of the 1st February 2016 all occupants aged 18 and over moving into a property in England will be subject to a Right To Rent check. You will be required to provide a valid passport along with any visas or permits if applicable. Rental Payments The first payment of rent must be paid in cleared funds prior to the start of tenancy. Thereafter rent is payable by standing order or an online payment to arrive on the due date as stated in the tenancy agreement. Late rental payments will incur charges as set out in your tenancy agreement. Inventory Check-in & Check-out Unless otherwise stated, the landlord will be responsible for the inventory check-in cost and the tenant is responsible for the inventory check-out cost (including any cancelation costs as per the inventory company’s charges). The tenant will be required to pay Alphabet City for the inventory check-out cost once the provisional appointment has been booked. Upon receipt of funds the appointment will be confirmed and booking confirmation forwarded to the tenant. The deposit shall be repayable to the tenant only at the end of the tenancy, without interest and after deductions from any sums required to compensate the landlord whether wholly or in part for any breach of obligation on the tenant’s part and when proof of termination of account for gas, electricity, water, council tax, telephone and television services have been produced. All deposit deductions must be agreed in writing by both the landlord and tenant upon termination of tenancy. If the property is not managed by Alphabet City, your landlord will be responsible for registering your deposit with their preferred deposit scheme as outlined in the tenancy agreement along with all deposit matters. The tenancy agreement is between the landlord and the tenant(s). Alphabet City cannot be held responsible for any deposit deductions made from the deposit which may fall into dispute. Utilities You will be responsible for notifying the various utility companies and local authority when you are moving into / out of the property. You will be responsible for the payment of gas, electric, water, telephone and council tax at the property. You are also responsible for ensuring a valid television license is in place should you be using these services. Please note that under no circumstances should utility supplies be disconnected; disconnected supplies will result in a reconnection charge which is payable by the tenant. At the end of tenancy utility accounts should be put back into the landlord’s name as outlined in your tenancy agreement. Utility companies will require the tenant(s) to provide access to the property for any visits. Property Management At the start of tenancy we will advise you who is responsible for the management of your tenancy. If Alphabet City are not managing your tenancy, you will be provided with your landlords contact details in your Move-in pack at the start of your tenancy. If Alphabet City are managing your tenancy, you are welcome to contact us directly regarding any assistance that you may require during your tenancy. My Property Profile As a tenant you will have access to My Property Profile, a bespoke Tenant dashboard, from where you can access your tenancy information. You can securely view, sign and download documentation, contact us, view tenancy Alphabet City Ltd Page 3 © April 2016

You can access My Property Profile from www.alphabetcity.co.uk Rent | My Property Profile. Maintenance As a tenant it is your responsibility to report all maintenance issues in writing to Alphabet City or your landlord depending on who manages your tenancy. If your tenancy is managed by your landlord directly we cannot authorise any repairs or maintenance on their behalf, nor can we guarantee the speed at which repairs will be carried out. If Alphabet City manage your tenancy you will need to report all maintenance issues via FixFlo, a bespoke maintenance reporting platform. This can be accessed via our website www.alphabetcity.co.uk | Rent | FixFlo. Please note that we may have to obtain the landlords approval before proceeding with a repair. If Alphabet City manages the tenancy we will hold keys, so we can provide contractors access with your permission. However, if we are not holding keys or contractors are unable to collect keys you will be required to provide access to the contractor. Safety Certificates During your tenancy you will be contacted by our contractors who will arrange an appointment to visit the property to carry out safety certificates. Safety checks will be carried out on gas and electrical appliances, smoke alarms and CO2 alarms. In some instances, a legionella test may also be carried out. Safety certificates will be carried out annually or as required by law. As a tenant it is important that access is permitted to undertake these safety checks. Property Visits If Alphabet City manages the tenancy we will contact you in writing to arrange an appointment to visit the property. If your landlord manages your tenancy, they will contact you directly if they wish to arrange a property visit. Property License Depending on the local borough, the property maybe subject to a property license. Alphabet City, your landlord or the local authority may require access to the property for licensing purposes. You will be informed if access is required, you may or may not need to be present for the visit. Insurance We recommend that you obtain tenant insurance during your tenancy. It is your responsibility to insure your own belongings. Subletting By completing the Tenancy Application Form you confirm that you intend to enter into an Assured Shorthold Tenancy Agreement in your name(s) and that you will not (1) Sublet the property, (2) advertise the property in any form of print or media, including but not limited to social media or messaging apps, (3) take in any paying guests without prior consent from the landlord.

You will be responsible for the payment of gas, electric, water, telephone, council tax and television license at the property until the end of term or the property is re-let. An administration charge of £195.00 Inc. VAT is payable in advance and is non-refundable; the property will be marketed in line with your preferred move out dates as agreed by all parties. If you are serving notice in line with your Tenancy Agreement this clause does not apply. Smoking All properties are non-smoking. Animals All properties do not accept any animals. VAT All charges raised by Alphabet City are subject to VAT at the prevailing rate, currently 20%. Data Protection Alphabet City is registered under the Data Protection Act 1998. We are committed to ensuring your personal data is always dealt with securely, in the strictest of confidence and in compliance with the Data Protection Act. We may instruct other organisations to process your personal data on our behalf; we may be required to supply your personal data to law enforcement agencies if requested. Alphabet City will contact you via letter, e-mail, telephone, SMS, post information on My Property Profile or otherwise to inform you about matters pertaining to your tenancy or our service. Amendments Alphabet City reserves the right to change the company fee structure and these terms of business after having provided reasonable notice in writing. Please refer to our price list which can be found on our website www.alphabetcity.co.uk. TENANT | FAQ – FEES – TERMS. A copy of our price list brochure will be included in your move-in pack which provides a full break down of our company charges. Terms & Conditions This application does not form part of the tenancy contract. Please allow up to 7 working days for references to be processed. The Fee of Intent is nonrefundable, however if your tenancy proceeds satisfactorily these monies will contribute towards your advance rental. If for any reason ALPHABET CITY LTD is unable to process your tenancy, the Fee of Intent will be refunded less a charge of £150.00 Inc. VAT to cover our administration. The referencing fee is not refundable once references are processed. To the best of my knowledge, the information I/ We have provided is correct and true. I/We understand that non-disclosure or misrepresentation of information requested may result in the tenancy not proceeding and the loss of any monies paid. Early Termination If you wish to vacate the property prior to the end of the term, you will be NAME liable to pay the rent up until the term expires or the property is re-let NAME whichever is earlier. Prior consent from your landlord is required to NAME terminate the tenancy early. Please note that all tenants are liable to NAME DATE ensure the rental is paid on time and in full until the end of the term or the property has been re-let.
