SECURITY DOCUMENT SECURITY the storage campus features 24/7 state-of-the-art security and the most comprehensive fire suppression systems which are linked to constant fire monitoring station. The combination of which, provides ideal conditions for your business continuity and disaster recovery plans. All records are delivered by a fleet of vehicles which are fitted with fire protection equipment and alarms. All vehicles are locked when items are being collected / delivered, and at no time is the vehicle left unattended in an insecure state. Our storage campus provides Garda-cleared staff, 24-hour on-site security and CCTV, with further protection from electronic surveillance using passive infrared detectors, access-controls, microwave technology, inertia sensors and contact switches. This ensures that there can be no unauthorised access to your documents / media whatsoever.

AUDIT TRAIL Since the word go, our scanning experts have employed sophisticated barcode tracking technology, RS-SQL, to ensure we can trace the location of each document from its creation date to its destruction date. RS-SQL 速 (Record Storage for SQL Server) is the world's leading commercial record storage & management software product from O'Neil Software. Running in over 850 facilities in more than 60 countries, more of the world's records are managed off-site on RS-SQL than any other software package.

HOW WE TRACK YOUR DOCUMENTS The RS-SQL system produces a unique, non-transferable bar code for each of your boxes, which remains constant throughout its entire life cycle. Our audit trail begins when the box barcode is scanned into our system for the first time. This bar-code carries all relevant information and guarantees total tracking and retrieval accuracy. When your box of documents are delivered to you, or collected from you, each driver employs the use of a Portable Printer and a Portable Data Transmitter (PDT). This enables them to print off a receipt of all the boxes collected in each visit to your premises and provide you with a signed copy of that receipt. The boxes are then brought to the storage facility where they are scanned into a temporary holding area. The boxes in the temporary holding area are then verified to ensure that they match with the boxes that have been collected. Once verified, the boxes are scanned to a unique location in our storage facility where they remain until retrieved or destroyed. The audit trail typically documents the activities of creation, migration, movement of records, modification, deletion, defining access, and usage history. This trail is completely unalterable, thereby providing you with an accurate, up-to-date account of the life cycle of your documents.

Detection of security breaches: We have stringent processes to monitor and detect any breach of security. 8. Limited access to data: At Cost Outsourcing, we store our data at a data centre and ensure there is physical access limitations to the data. 9. Encrypted data: All the data that is transferred from our customers’ office to our data processing office is encrypted to ensure that none of the data is deciphered. 10. Electronic devices are not allowed: Data processors are not allowed to bring laptops, PDAs or any other electronic device into the offices.

11. Paper/printed documents are not allowed: Data processors are not allowed to bring in or take out any paper, printout or written documents without permission. 12. Restricted print permissions: All the systems at Cost Outsourcing have restricted print permissions. 13. Strict administrative procedures: We have stringent administrative procedures to ensure data integrity and confidentiality 14. Security measures to prevent vandalism: Data processing offices have security measures to prevent the vandalism or theft of any information stored in our systems. 15.
