Having been on the board since AAXO’s inception, I am very excited to finally steer the ship into it’s fifth year as Chair of the Association. I am proud to be part of a very passionate industry who have been driving the African economy by providing service excellence in the exhibition industry. It’s been a pleasure to work with organiser, venues and suppliers to the industry who have been integral to AAXO’s success.

It was an incredible opportunity to attend Expo Expo in Vegas last year, especially being present at the graduation ceremony of the 2019 CEM (Certified Exhibition Management). I am proud that we are finally embarking on CEM training in South Africa. Our strategic partnership with the IAEE (International Association of Exhibitions and Events) allows us the opportunity to be part of this internationally recognised training programme. For those of you who do not have time for CEM training our Exhibition and Event Masterclasses will still afford you the opportunity to stay on top of your game. In addition to our focus on education, training and development, we will as always have our industry networking events to look forward to. These events, particularly the annual AAXO ROAR Awards, our open conversations, the AAXO Social Responsibility Programme as well as Global Exhibitions Day allow essential interaction, collaboration and communication that allow us to invest in our industry. In alignment with our efforts to ensure more opportunities for development we are pleased to announce to our new Young Professionals membership this year. This provides the opportunity for young individuals whose companies are not members of AAXO to be part of the association and have access to mentorship, resources, training and education grants. Members are governed by an allencompassing code of conduct that informs ethical behavior in the industry. Additionally, this code of conduct guides the way exhibitions are conducted, the quality of exhibitions, and informs ethical interaction within the industry.

Its efforts are directed towards its mission of being the respected authority and representative of the exhibition organising industry responsible for governance, skills development and research, while upholding world-class industry standard. This, in turn, is designed to be the engine that drives Africa exhibition and organiser growth.

One of AAXO’s key mandates is to empower the industry with skills and knowledge towards creating a professional industry that offers unparalleled service while creating value for all stakeholders. Choosing the right Expo

An expo with high visitor numbers might get your brand noticed by the right consumer, assuming that you have a product or service that stands out from the hundreds of other exhibitors. Even with a good offering, your job is not nearly done. You need to ensure that your stand or display is noticed by visitors and that every interaction counts. The good news is that an expo can be a valuable marketing tool, aside from the face-to-face interactions and immediate on-site sales. Extracting the most value from expos The key success factor is matching your brand with the right marketing tools offered and the right consumers – at the right expo. It’s all about the combination creating the best chemistry. Naturally, you want to choose an expo that attracts the right visitor profile for your brand—but that’s the easy part. How does one capitalise on one brief interaction with a consumer, not even mentioning the consumers that you did not reach at the expo?

EXHIBITING 101

Choosing the right expo for your brand is not as simple as picking the one that provides access to your core consumer base and has the largest reach. Talita Myburg from Grey Advertising, Johannesburg, explains that it is much more of a science, as all of the elements need to work together to create magic!

Here are some pointers that will help you choose wisely: • Carefully consider the purpose. Do you need to exhibit at an expo with the highest visitor numbers or would a smaller expo with a focused approach help you reach your objectives more effectively? • Cast your net wider. Can you reach key consumers beyond your current catchment area without a massive operational investment? • Connect to consumers in other ways. Does the expo have platforms available that can connect you to key consumers? Think about digital platforms such as websites and established social media communities, as well as other communication forms such as mailing lists, printed and electronic publications, and networking opportunities. • Investigate value-adds offered by the expo. Social media tagging, ticket give-aways, shopper research and insights, data collection opportunities, and free publicity are great ways to secure additional awareness. • Engage in areas other than on the floorspace. For instance, consider sponsoring talks, utilising goodie bags, providing complimentary services, and running competitions etc. Seeing that there is no set recipe that works for all brands, you will need to find the right mix to create the winning formula for your brand. Fortunately, with a bit of experimenting, you will eventually identify the expo that creates that consumer chemistry for your brand.

A step by step guide to plan your participation when exhibiting in Africa

As such you will need a reputable organiser, such as an AAXO Member, to ensure you get a professional service. It’s advisable to find out whether the organiser has a local office in this African country or if they have partnered with a local agency, media partner, government or similar to help them navigate the maze of protocols and legislation that differ from one African country to the next. Further to this, it is imperative that you select suppliers for this exhibition that service clients and exhibitions in this country, and that they are vetted by their peers. Accredited suppliers of all the various products and services can be found on the AAXO or EXSA website. It’s in your best interest to select exhibition suppliers and organisers that have experience in other African countries.

When you’ve chosen to exhibit in Africa, Reed Exhibitions explains why choosing the right suppliers is even more important.

When exhibiting cross-border also prepare that there will be extra costs and longer lead times involved to get things done. You will need to order your services and plan your stand design earlier than usual to ensure it all gets done on time. You may be required to courier/freight equipment for your display area in advance to reach the destination on time. Also, budget in some time for things to get stuck in customs, as this is an ongoing challenge – especially if the paperwork accompanying the equipment is incorrect. Consider the extra costs to fly down staff to man the stand down to the destination, additional accommodation, possible car hire and extra meals. Plan your strategy for onsite, tap into any networking or business matchmaking initiatives the organiser has available and research your prospective clients in this region to invite them to come and meet with you on your stand at the show. Don’t forget to capture leads onsite and follow through with call backs once the show is over. Remember, exhibition leads are qualified, quality sales leads. If you’ve decided to take the plunge and market yourself in Africa, don’t skim on the important things!

The rules of attraction and engagement on your exhibition stand Once your stand is built, Reed Exhibitions tells us how to ensure success in attracting visitors to your stand during the show and to maximise on the opportunity. Although there is an art in constructing the perfect stand that attracts visitors, there are other considerations that are even more important than having the a beautiful stand at the show. To attract visitors to your stand, ensure you have amazing show specials. Advertise your show specials before the show to create some excitement and commitment from people to go through to your stand at the show. Ensure that the staff you have manning your stand is well trained on your products, technical specs, pricing and well briefed on capturing leads during the show. Get the staff manning your stand to engage with visitors and keep an inviting stance. To further attract visitors to your stand, you can host competitions from your stand, do product demos and extend your audience reach beyond the exhibition through Social Media and PR. Invite your existing clients to view your latest products or to come and learn about the technical specifications and product capabilities from the experts on your stand. To attract people spending more time on your stand, offer them a free coffee and complimentary wi-fi, pair that with a snack of sort and you have a winning combination! Another great way to get people to spend more time on your stand is to enlist the help of celebrities ie sports celebrities. And if you have relevant educational content, hosting a short workshop on your stand is sure to bring in the crowds! Don’t forget: once the show is over, follow up on all the leads collected during the show, close the sales and measure your ROI.

Maximise your exhibition participation with a strong Social Media campaign

A 2018 Social Media Marketing Survey, published by the ExhibitorOnline.com, revealed that 9 out of every 10 marketers surveyed said they used social media as part of their exhibition marketing plan. 83% of these marketers said that social media has helped them to reach their corporate objectives to improve client and prospective client relationships. The use of social media by exhibitors is not only an essential platform to fulfil the marketing strategy, but more specifically it ensures that the target audience is aware and invested in the brands exhibition activities. Ensuring that your social media is fully activated, and your community management is in top form during the exhibition results in an increase in following from new customers; a perfect opportunity to build and grow your market.

Social media is a platform that brands should never ignore when they choose to participate in any exhibition. From trade to consumer exhibitions and events, social media is proving to be a necessary ingredient for a successful brand activation.

Here are some simple, yet necessary steps to ensure that your exhibition social media campaign is a success. 1. Before the Expo. Ensure that you start your campaign at least one month in advance across all your social media platforms. Start by putting out a ‘Save the Date’ telling your followers to pencil in the date of the event into their calendars. Even the followers who can’t join you at the event will show interest as they want to see and hear all about the brand engagement at the event. 2. Join the conversation. Make sure your social media activity is a part of the bigger online expo conversation by using the official expo # (Hashtag). This will ensure that everyone who follows the hashtag will learn about your brands presence at the expo, ensuring our posts are visible to all attendees. 3. Expo Artwork. Get in contact with the exhibition organiser and ensure you get all the online promotional artwork to share with your social media audience. Use this along with the official hashtags and expo handles. This allows you to expose your brand to any potential customers researching the expo online. 4. Your stand activity. Don’t just tell your followers where you are located at the expo but rather use your social media platforms to share everything that is taking place on your stand during the expo. Get their attention by giving your followers regular updates on your expo specials, freebies and any other activity you have planned on your exhibition stand. 5. Keep the conversation going. It’s not just about posting on social media, it’s about the replies too. You need to keep the conversation going by replying to your audience. They will have lots of questions and comments; so be ready with your replies, make sure you have all the basic expo information. This includes ticket prices, FAQ’s and the expo social media handles, so you can tag the expo organisers into questions you might not have the answers to. 6. Post valuable content. When you are posting and using the expo hashtag, you can be sure that attendees and those following the expo online are looking for more than just your stand number. Be sure to give them content that they value. Have a look at what they are talking about, the type of posts they are engaging with and find the gap for your brand in the content chain. 7. Plan Ahead. You can use your time at the expo to also create content for the weeks ahead. Film parts of the expo and interviews with the attendees to the event, and bank it for future posts. This is the perfect opportunity to interview your customers, get positive feedback that you can share online. This can be fun and exciting content to share with your online community. 8. Don’t forget the social media report. An expo activation report is essential for all exhibitors but be sure to also compose a detailed report on your social media campaign for the expo. Access the engagement, the content that worked, the content that didn’t work and monitor your brand’s growth in followers and engagement over the expo period. In the 2018 Social Media Markers Survey, only 6% of the marketers said that social media used by exhibitors as part of their activation plan showed little to no potential. Exhibitions give marketers the ability for one-on-one conversations with new and existing customers. Social media, if used correctly, enables brands to attract new and prospective clients to your brand even before the event, and keep them engaged with your brand long after the event is over.

Ten tips for easy and successful exhibiting

1. Choose the right show Take a look at the show’s objectives: Who is visiting the show, who else will be exhibiting, and are the dates right for you? It’s important to look at the exhibition’s statistics from the previous year to get a feel for how busy the show will be, and if possible, a breakdown of the visitor profile. 2. Determine your objectives After selecting your exhibition, clarify your objectives for your time at the exhibition. If you don’t have focus, you could end up wasting precious time and money, or concentrating on the wrong things. 3. Start early By getting a head start on planning your exhibition stand, you’re not only more likely to benefit from better rates, but also have a clearer idea of what needs to be done beforehand. 4. Select the right exhibition contractor By getting too many quotes from contractors, you’ll end up confusing yourself and trying to compare quotes that may not be comparable. Choose a local contractor so that somebody will be nearby should something go wrong, and choose a contractor that doesn’t subcontract so your supplier is able to help out with any issues a lot faster. 5. Staffing is critical Your staff members on the stand must be the right fit. Each member of the team on your stand must be aware of and understand the objectives you have set out for the exhibition. A staff roster detailing shifts and breaks is important to make sure there is always somebody in attendance. 6. Make your stand interesting If you want to stand out from the crowd, you’ll need to make sure your stand is different both in how it looks and how it engages exhibition visitors. If your stand can draw people, allowing your staff to connect with them in a fun way, then that’s half the battle won. 7. Take a walk During the quieter moments on a show, take a walk around the exhibition. This will give you the chance to evaluate what your competitors are doing on their stands, as well as get ideas for future exhibitions. 8. Follow up fast After you’ve packed up your stand and headed back to the office, it’s important to follow up with all the leads that were generated at the show. Make sure to keep a lead generation book at the stand to capture visitors’ details. 9. Analyse the exhibition After an exhibition, you need to establish whether it was worthwhile for your business. Go back and take a look at your initial objectives for the exhibition and, as a starting point, examine whether those were achieved. 10. Time to experiment Once you have a clear idea of what went right for you, and what could be improved upon, it’s time to get creative. Look for ways to improve on what went wrong, and how to make good ideas even better in future.

Africa The African Opportunity Africa poses great opportunities for the exhibition sector, with Africa seen as the ‘the next big thing’. Home to over 1.3 billion people, Africa is the fastest growing and youngest population in the world. In a recent report by the Department of Trade and Industry, consistent levels of high economic growth with an ever-expanding middle class (350 million with consumer spending expected to reach USD 2.2 trillion by 2030) is expected to catapult Africa into the centre of world economic markets. The World Bank Report (2013) estimated USD 1 trillion industry in Africa by 2010, dependent on infrastructure development, and would include import replacement and a value-added agri-industry. Africa House recently reported on the emerging trends in Africa, which includes but is not limited to: Growing consumerism changing dynamics: Healthcare sees growing private participation, estimates put the opportunity at around USD 24 billion a year in capital requirements alone and along with this, growing health insurance needs. ICT-driven consumers: Uber, M-Pesa, online retail growth Education: A barometer of positive change. Growing state and private investment in education with Kenya, Nigeria, Cote d’Ivoire, Senegal, Ethiopia and Ghana leading the way Housing: At mid/upper-end creating gated communities, investment in building materials, IPP’s, land acquisition, high-rise buildings and ring-fenced funds. PAYG electricity: Seen as a solution for off-grid rural communities with solar raising millions of dollars to finance installations in one million East African homes over three years and PAYG solar-powered satellite TV packages in Kenya. Modular manufacturing facilities: A growing use of modular to start small and upscale in cement, power, furniture and housing. Secondary cities: Both resource-driven ‘frontier’ cities and established ones, it’s not just about capitals/key cities Power & Minigrid, Renewables: currently 2 000 minigrids in Africa, expected to reach 16 000 by 2023. Waste Management: Urban waste to double from 2012 to 2025 reaching 244 million tons – whereas municipal solid waste collection is only 55% on average. The United Nations estimates waste valued at USD 8 billion a year. Water and wastewater: The next horizon for private players, recycling – growing water scarcity for agriculture, industry and consumption requires new tech and a new approach. Urban Transport: Light rail, BRT systems – connecting satellite towns to city centres. Automotive Sector: Rising populations, urbanisation, incomes seeing investment in Nigeria, Kenya, Rwanda, Namibia, Ghana and Ethiopia in vehicle assembly. Affordable Housing: Every country has deficits – UN, governments, private capital to overcome this. Consumer Goods: According to research at UCT, cosmetics are the fastest growing consumer product in urbanising parts of Africa – local production of consumer goods and assembly of consumer electronics, motorbikes etc. Supporting all these assumptions and at the heart of Africa’s growth plan is the Africa Continental Free Trade Agreement, creating the world’s largest trade bloc, comprising 55 countries with a GDP of USD 2.2 trillion in 2017, rising to between USD 3 trillion and USD 3.5 trillion by 2024. For the exhibition industry at large, this means that although the economy in Southern Africa has been sluggish, a whole new world of opportunity awaits outside of our borders. If ever there was a time to seize the opportunity, that time is now!

A marketing culture to shape and raise the awareness for the destination as a preferred MICE option, offering and creating confidence in the market place of the destination’s exhibition capabilities is also being pushed by RCB. Rwanda Convention Bureau (RCB) joined as an associate member of AAXO in 2017 and, RCB’s the Marketing directorate was thrilled to participate in the 3rd edition of Exhibition of Exhibitions (EoE) that took place from 30th 31st January 2019. Rwanda successfully integrates itself into regional and global trading. As a result, Rwanda is the state member of the following trade agreements: EAC, COMESA, AfCTA, AGOA, and “Everything but Arms” with EU. Globally, Rwanda’s major trading partners are the USA, UAE, China, India and countries of the EU.

Rwanda has extended its presence in the word of Exhibitions, In the efforts to grow Rwanda’s MICE strategy, Rwanda Convection Bureau (RCB) continues to create and deliver an effective internationally recognized MICE tourism brand for Rwanda, and it has become clear to the Bureau that exhibitions are a key component to success of delivering said object.

Rwanda has successfully hosted the consumer expo on an annually basis and this has been highly attended, the numbers of visitors have kept growing and due to the request from consumers, this has been given a duration of 3 weeks, but as the years go on, attendees continue to ask for an extension. Notably, Kigali, Rwanda’s capital city has hosted over 500 exhibitors from Malaysia, Turkey, Iran, Egypt, Oman plus regional participation from West Africa like Ghana, Nigeria, and Senegal and East African countries like Uganda, Kenya attend annually the Rwanda International Trade Fair. We have also hosted Build Expo, China Branding , Egypt exhibitions and, in we have interest from prominent exhibition organizers like International Fairs and Promotion (IFP), China Trade Week and Intra African Trade Fair, Scan Diplay, Africa Fintech summit, My Events International and Oman organizers all lined up for exhibitions in . In support of Rwanda’s MICE tourism efforts, the destination now has multiple 5 star exhibition venues, namely Intare Conference Arena, Kigali Convention Centre, and Private Sector Federation Grounds and construction of a permanent exhibition home ground on 40,000 sqm is underway in the Gahanga sector. Rwanda remains as a growing Exhibition destination in Africa to be reckoned with and we are delighted to welcome all exhibition organizers and exhibitors to Remarkable Rwanda. www.rcb.rw
