YOUR IT ACCESS ONE ACCOUNT, MULTIPLE USES

IT ACCOUNT When you begin studying at UEA an IT account will be created for you. We do this using the information you provided during your initial registration. You should gain access to your account during this registration process where you will be asked to set your password.

LOGIN DETAILS Your IT account consists of a username and a password. Using this username and password you can login to any computer at UEA (barring local restrictions) be it a Windows, Mac OSX or Linux machine. Usernames typically consist of three letters followed by the last two digits of the year you started your studies, followed by a further three letters e.g. abc15xyz@uea.ac.uk.

All students and other persons authorised to use UEA computing facilities must abide by the Conditions of Computer Use. These are necessary in order to ensure that the University complies with relevant legislation and the Joint Academic Network (Janet) Acceptable Use Policy, and also to protect users themselves. PASSWORD SECURITY It is important that you keep your password secret. Do not write your password down or tell it to anyone else. Be sure to change your password regularly to maintain the best security. IT Services may enforce a password reset on your account if we believe your security has been compromised or as part of a regular password refresh cycle.

Remember the UEA will never ask for your password either by email or over the phone. If you have any doubts about an email you have received just delete it. Always keep alert for Spam and Phishing emails. Never open attachments from unknown senders and don’t click on links to suspicious websites.

ACCOUNT // DATA SECURITY Keeping your IT account and data secure is essential. One of the best defences is to ensure you have Anti-Virus systems installed on your computers. Popular choices can be found from the likes of Kaspersky, Bit Defender, Norton’s and Symantec. However, low cost options are available and provide a good basic level of protection. Take a look at AVG, Microsoft Security Essentials or Avast for free virus

protection. Also check out Malwarebytes and Ad-Aware for protection against malware. Be vigilant of your devices. Keep them with you at all times and enable password and GPS location features when available (e.g. Find My iPhone).

WI-FI As a UEA student you have access to Wi-Fi all over campus. Get online in the Library, in your lectures and in your room. The University’s Wi-Fi connection is called eduroam. Eduroam allows you to not just roam around campus but also other educational institutions. So if you are visiting other universities representing the UEA in one of the many sports teams, or participating in some shared research, you know you can still get online.

Connecting your device to eduroam is easy. Just follow the steps below to get online, and remember you can enrol as many devices as you like. Once connected, your devices will continue to connect to the network until your current password expires. Passwords expire once a year. Don’t worry, your devices will prompt you for your new password when it is time to reconnect.

Connect your device to the “setup-UEA-wireless” network.

2.

Navigate to your browser and you will be redirected to the sign up page. If you are not redirected then please refresh the page or go to setupeduroam.uea.ac.uk.

3.

Read through the terms and conditions and when you are ready select the tick box and start the wizard.

4.

Enter your login details and password in the format requested.

5.

Your device may ask to install a certificate. Don’t worry, this is normal. Using these certificates allows us to keep your details safe when using eduroam. Agree to the installation to continue.

6.

Once the certificate has installed, your device will migrate its connection to the “eduroam” Wi-Fi. If this does not happen automatically you can select eduroam from the list of available Wi-Fi networks.

7.

You may need to tell your device to forget “setup-UEA-wireless’.

Some devices, such as Android phones and tablets may require extra applications to connect to eduroam. Disconnect from the setup connection to download these over your mobile data connection or an alternative Wi-Fi network. For registering wired devices please contact it.servicedesk@uea.ac.uk.

VISITORS Visiting friends and family can make use of “The Cloud” Wi-Fi by signing up for an account. Just connect to “The Cloud” Wi-Fi network and follow the instructions.

CAMPUS CARDS Keep your campus card close, it can get you into plenty of useful places. Having your campus card with you at all times is highly recommended. It can grant you access to the Library as well as the 24-hour IT and study spaces. It can also get you into specific study or laboratory areas that you need to access for your course. Your campus card also has your student status printed on it so it can get you into places like The Sainsbury Centre for Visual Arts, for free!

Student printing at UEA uses your campus card. Top up your card at pay stations around campus and your printing credit will be updated on your UEA desktop. For more details see page 15. Head over to the Library (you will be let in) to pick up your new campus card. Follow the signs for where you can pick up your card, or visit the IT Service Desk. Look after your campus card. If it is lost you may be asked to pay for a replacement.

WHAT DO YOU NEED? Bring your student number with you and we will verify your name and date of birth before issuing your campus card. You should have already been able to upload a photo for your campus card during online registration. If you didn’t upload a photo please either bring one along for us to scan, or provide one on a USB drive. Alternatively, we can take your photo at the IT Service Desk.

EMAILS Access all of your emails, on all your devices, wherever you are. Your UEA emails can all be accessed in lots of different ways. The great thing is that all of your data is stored safely on the servers. We have loads of space, so you won’t ever need to delete old emails or attachments to make more space. Our email service at UEA is provided by Microsoft and Office 365. This means when you have a tight deadline you won’t need to worry about your emails going down at busy periods; you can just focus on your work. To login to your email just go to office365.uea.ac.uk and sign in using your normal UEA username and password.

Be sure to enter your username in the following format: abc15xyz@uea.ac.uk. From here you will be able to see all of your emails. Any changes you make on any of your devices will be instantly reflected on the web. Phones and tablets can be configured using the same server details and login options. Device setup varies so please consult the IT Service Desk or visit our website for more details.


EMAIL CALENDARS CONTACTS GET TALKING // STAY ORGANISED

CALENDARS // CONTACTS Your calendars and contacts are safely stored in the cloud. Any changes you make to your event or contact records will be instantly reflected on any device you use. Your study timetable can be integrated with your calendar within Office 365. See page 16 for further details.

SOFTWARE Don’t worry about buying that expensive copy of Microsoft Office, we can provide it for free. As a student at UEA you have access to a Microsoft Office 365 account. This means lots of free software, massive free cloud storage and free apps. Use the Office apps in your browser to open Word, Powerpoint and Excel documents without having to install any extra software or grab a free copy using the instructions below.

GET OFFICE (WINDOWS/MAC) 1.

Login to your Office 365 account at office365.uea.ac.uk/software. Enter your username and use your normal UEA password. Enter username in this format: abc15xyz@uea.ac.uk.

2.

Click on the Office link on the main page to see your free version of Office and any previously registered copies.

3.

From here you can download Office for both PC and Mac.

4.

Follow the installation guide and, when prompted, login using the same format as above.

GET OFFICE (PHONE & TABLET) 1.

Login to your Office 365 account at office365.uea.ac.uk/software. Enter your username and use your normal UEA password. Enter username in this format: abc15xyz@uea.ac.uk.

2.

Click “Phone & tablet” in the page menu.

3.

Select your device type/OS from the list and click ‘Get Apps’.

4.

Follow the install guide through to the relevant App Store.

5.

Login to the App(s) when prompted using your UEA credentials.

SOFTWARE Continued

CORE & SPECIALIST SOFTWARE We know how important it is that you have access to the software you need. The same version of Microsoft Office, which is available for you to download for free, is also installed on all UEA student desktop computers. We also include specialist software specific to your studies such as SPSS, ArcGIS, Nvivo or MatLab.

If you would rather install our specialist software on your own device we provide licences to enable you work from home, or in one of our open access areas.

FILE STORAGE

CLOUD STORAGE

Don’t risk saving your work to that old USB drive. We have a variety of ways for you to save your work and keep it safe

Work in the cloud and make use of the massive storage that is yours for free as part of your Office 365 account whilst studying at UEA.

CENTRAL FILESTORE Every student is allocated 5GB of storage space on their ‘Central Filestore’. When logged into a Microsoft Windows computer you will see your Central Filestore assigned to the ‘U: Drive’ in the ‘Computer’ window. Your documents, images, videos, music and desktop folders are all redirected automatically. Ensure you save your work in these locations to store all of your files securely on the filestore. When using a Mac OSX machine in one of our lab or studio spaces you will see a ‘Home’ folder in the Dock linking to your Central Filestore. From here you can access the same files that you see on a Windows computer.

Go to learn.uea.ac.uk and click ‘UEA Software Download’ under ‘Organisations’.

Save your files in OneDrive and you can access them from anywhere via the Office 365 portal or via the ‘OneDrive for Business’ apps. Files you save in OneDrive will also be accessible from within any of the Office 365 apps, allowing you to open and work on documents within your web browser, so you don’t even need to install Office if you don’t want to. To access and work on your files go to office365.uea.ac.uk/onedrive. Download the free ‘OneDrive for Business’ apps on iOS, Android and Windows Phone and sign in with your UEA credentials. OneDrive keeps a copy of your deleted items for up to 90 days so don’t worry if you accidentally delete something.


PRINTING Look out for the PrintPlus+ signs around campus. You will find more than 20 devices in the Library and ITCS where you can collect your printing, as well as locations within schools and faculties. PrintPlus+ uses a credit system to pay for your printing. Different charges apply depending on whether you print in colour, black & white, in A4 or A3. You can top up your credit at pay stations in the Library or online at uea.ac.uk/printplus. When you want to print something just select ‘Print’ on your UEA computer and you will be asked which printer you wish to use (e.g. colour or B/W).

Once your printing has been sent you have 2 hours before the print job will be lost. Don’t worry, if you don’t end up printing your document you won’t be charged. Go to a PrintPlus+ station and all you have to do is tap your campus card on the reader to login. You can then go ahead and release your print job. You can also send a print job from your own devices. Go to uea.acuk/printplus and select ‘Web Print’. For more information please visit the IT Service Desk or see our online helpsheets.

Select your colour and size options and send the print job to the queue. Your UEA desktop will report back on your credit usage and how to top up if you need to.

COPYING // SCANNING Scanning and copying is also done at one our of PrintPlus+ stations. Simply load the documents you wish to scan or copy into the loading tray on the top of the device, or for single scans/copies place the document into the scanner directly. When ready select how many scans or copies you would like, select the size, colour and quality options and then you are ready to begin.

You can top up your credit for making copies in the same way as for normal printing. Visit a pay station or go to uea.ac.uk/printplus.

Scanning is provided free of charge with the scan sent directly to your email inbox. Different charges apply to copying depending on whether you copy in colour, black & white, in A4 or A3. Information on these charges is provided at the PrintPlus+ stations and on our website.

TIMETABLES Every year your timetable will be produced automatically with all of your lecture and seminar sessions booked in. To access your timetable service go to learn.uea.ac.uk and follow the links through to e:Vision. You can choose to view your timetable online within e:Vision or you can choose to subscribe to it on your own device(s).

SUBSCRIBE TO YOUR TIMETABLE ONLINE/ON YOUR COMPUTER You can import your timetable into a variety of calendar clients/apps. However, we recommend using your UEA Microsoft Outlook account by completing the following steps. Detailed helpsheets are available from the IT Service Desk.

1.

Via a desktop/laptop internet browser navigate to learn.uea.ac.uk. Locate the ‘Atom RSS & ICS’ links for your timetable under the ‘Student Records - e:Vision’ pane.

2.

Right-click on the ‘ICS’ link and select ‘Copy Link/Address/Shortcut’. This option will differ depending on your internet browser. Left-clicking the ‘ICS’ link from certain devices may bring up an option to subscribe to the timetable using your device’s default calendar app. This is NOT the preferred option.

3.

Navigate to office365.uea.ac.uk and login using your UEA username & password. Select ‘Calendar’ from the home screen or menu.

4.

With your calendar open right-click on the ‘My Calendars’ text in the lefthand menu. Select ‘Open Calendar’ from the list of options.

5.

Paste the URL you copied earlier into the ‘Internet Calendar’ text box.

6.

Your timetable calendar will now appear alongside your regular calendar. You can find it under ‘UEA Timetable Feed’. Click the calendar to view it when using Outlook online. It will also be available on any computer where you have installed Outlook. Simply toggle the view options to enable it.

TIMETABLES Continued

SUBSCRIBE ON YOUR MOBILE/TABLET You can add your timetable to all of your mobile devices. This will send all of your lecture and seminar sessions straight to your device. Please add your timetable to your Office 365 account by completing the steps on page 16 before attempting this guide.

1.

Download the Microsoft Outlook app for your iOS, Android or Windows Mobile device(s) from office365.uea.ac.uk/software, see page 13. (iOS users can choose to use the Outlook app or setup the default iOS Calendar)

2.

Signin to the Outlook app using your UEA credentials. (If using the iOS calendar app, signin via the ‘Settings’ menu with your UEA credentials to configure your calendar.)

3.

Open the ‘Calendar’ section on your Outlook app (iOS users can open the default Calendar app if previously configured).

4.

Open the options menu/tab. (If you are using the iOS calendar app select ‘Calendars’.)

5.

Here you will see a list of calendars available to your account. You should see the ‘UEA Timetable Feed’ which you subscribed to in the previous guide.

6.

Select the ‘UEA Timetable Feed’ via the slide or tick options to have your timetable appear in your main calendar view.

BLACKBOARD Blackboard allows you to access teaching material, collaborate with your tutors and join discussion forums with other students.

Look out for announcements within each module for information relating to your course as well as tasks your tutor may set before your next lecture or seminar.

Go to learn.uea.ac.uk to access your Blackboard pages or access them via the Portal. Login using your UEA username and password and you will see all of the information relating to your course.

Blackboard allows you to submit your work online rather than printing a physical copy. Your tutors will advise when a digital submission can be accepted.

The ‘My Modules’ section gives you access to all teaching material for the current term including lecture notes, videos and presentations.

Access Blackboard on the move via the Blackboard app. Search for ‘Blackboard Mobile Learn’ on iOS and Android. 17

Check our digital signage screens around campus to see where there are available computers. ISD IT areas can be found in the ITCS, Arts and Library buildings. Some schools/faculties will also have IT areas including spaces at ECB and NNUH. Don’t feel like stopping work at 5pm? The Library is open 24 hours.
